JOB DESCRIPTION:

Anchor Planning is seeking a Procurement Specialist to successfully execute the procurement of medical equipment on various healthcare projects while staying within budget and meeting schedule. This person will manage the full sourcing and procurement lifecycle for all planned medical equipment. They will need to have a well-demonstrated ability to meet deadlines, apply critical thinking skills, manage & coordinate multiple vendors, and types of equipment across various projects. This person will need to work well under pressure, be meticulous with details and have strong multitasking skills. They will serve as the single point of contact for all vendors, working collaboratively across teams while confidently making decisions and providing effective solutions.

QUALIFICATIONS:

An ideal candidate will have vast knowledge of procurement and supply chain functions, exhibit strong organization skills/ability to multi-task as well as be detail oriented, possess strong analytical skills, able to work independently, enjoy interfacing with staff at all levels, and retain excellent verbal and written communication skills.
Our work is fast-paced, and we need a candidate who can learn quickly, assist with improving/building processes, and can navigate new technology. This role primarily serves as support for the Senior Planners but can be the lead depending on the project phase.
Additionally, a qualified candidate will possess 2 or more years of related experience in procurement or healthcare supply chain.

Responsibilities
  • Provide professional customer service, interaction, and communication
  • Review medical equipment list and floor plans for accuracy
  • Maintain client and vendor equipment standards
  • Maintain knowledge and understanding of all planned equipment and products
  • Lead and deliver the procurement of all medical equipment for the project
  • Collaborate with project lead and client on procurement activities
  • Develop custom Procurement Process to align with client standards / project specific needs
  • Drive the procurement process and ensure all scheduled milestones are met
  • Process must address approvals, quotes, and purchase orders
  • Build and manage an equipment procurement schedule
  • Determine equipment schedule and install requirements
  • Maintain a procurement tracker
  • Maintain & update database throughout procurement
  • Develop and maintain relationships with vendors
  • Ensure timely and cost-effective procurement of equipment
  • Set daily priorities to meet established project deadlines
  • Conduct virtual client meetings
  • Negotiate contracts and pricing with vendors to secure the best value for our clients
  • Request quotes and review for accuracy
  • Obtain competitive quotes from vendors & negotiate pricing when applicable
  • Maintain overall equipment budget
  • Assists in developing RFP, RFI, RFB in accordance with directives and program requirements
  • Send documents electronically to client for signature and approval
  • Complete purchase requisitions and review purchase orders for accuracy
  • Enter requisitions into purchasing system for equipment orders
  • Manage approval process for requisitions
  • Review purchase orders and ensure timely delivery of equipment
  • Maintain accurate records of purchases, pricing, and delivery dates
  • Stay updated on industry trends and regulations related to procurement
  • Resolve any issues or discrepancies with approvals, quotes, requisitions, purchase orders, and invoices
  • Confirm vendor receipt of purchase orders
  • Coordinate product/procurement logistics with transportation vendors
  • Ensure compliance with organizational policies and client procedures
  • Monitor budget and spending for equipment procurement
  • Participate in cross-functional teams to improve procurement processes and procedures
  • Provide regular reports and updates on procurement activities to management
  • Run procurement meetings
  • Prepare and distribute weekly status reports
  • Create and manage a project task list
  • Review & track purchase orders with accounts payable
  • Deliver information and create reports based on client needs
  • Generate reports using Microsoft Excel, Smartsheet & PDF
  • Manage equipment returns and resolve outstanding issues
  • Produce project closeout documents
  • Complete budget and purchase audit to prepare final closeout reports
