JOB OVERVIEW

We are seeking a highly organized and detail-oriented Production Administrative Assistant to join our team at the Joffre LAO Plant. The ideal candidate will play a crucial role in supporting Operations, Process, and Logistics teams by managing over 25 Microsoft Access databases and handling a wide range of administrative responsibilities. This position requires a proactive, tech-savvy individual with excellent interpersonal skills and the ability to work independently as well as collaboratively in a dynamic plant environment.

EXPERIENCE

  • Previous experience as an Administrative Assistant or in a similar technical support role is required.
  • Expert-level proficiency in Microsoft Access, Microsoft Excel, and VBA is essential.
  • Strong working knowledge of SAP is required.
  • Prior experience in a manufacturing or plant environment is highly desirable.
  • Demonstrated understanding of HR and payroll systems and policies.
  • Proven ability to manage multiple priorities in a fast-paced setting.
  • Excellent communication and organizational skills, with strong attention to detail.
  • Ability to work both independently and as part of a team, with a customer-service mindset.
Responsibilities
  • Manage all site Microsoft Access databases used across Operations, Process, Logistics, HR, SHE, Procurement, and other departments.
  • Develop and maintain databases with advanced use of Microsoft Access and VBA to create user-friendly interfaces and automation.
  • Input daily production data and perform month-end tasks including chemical reconciliation using SAP.
  • Process and audit timesheets for Operations, Logistics, and Process teams, ensuring compliance with payroll policies.
  • Track and report overtime and assist HR with timekeeping scenarios for employee references.
  • Coordinate travel arrangements and complete e-expense reporting for team members.
  • Support training and onboarding activities, and provide daily admin support (e.g., photocopying, document revisions, presentation prep).
  • Maintain and update the Operations department webpage.
  • Act as a backup administrative assistant for other departments when needed.
  • Participate in site safety and housekeeping audits.
  • Maintain professional communication across all organizational levels.
  • Collaborate with internal teams to ensure smooth operations and continuously improve administrative processes.
