Responsibilities

ROLE RESPONSIBILITY:

Reporting to the Production Manager, your primary responsibility will be to support our ToppBase business with administrative roles but to also cover the weighbridge at our Birmingham depot as and when required.

KEY RESPONSIBILITIES:

  • Provide general administrative support, including handling phone calls and management of the inbox.
  • Act as the primary point of contact for clients regarding induction and delivery processes ensuring all required documentation is arranged and processed efficiently.
  • Coordinate the booking and scheduling of material movements, ensuring smooth and timely operations.
  • Organise regional meetings, including scheduling, room bookings, agenda preparation, and tracking action items.
  • Monitor and manage daily reports, following up on issues and liaising with Site Operations teams to ensure swift resolution.
  • Develop and manage a visual tracker to record site issues and produce regular reports.
  • Organise and maintain all project-related documentation, including contracts, drawings, specifications, and records.
  • Support clear and effective communication across internal teams, clients, subcontractors, and suppliers.
  • Administer and manage the ToppBase P&L inputting weekly and monthly information to support accurate reporting.
  • Oversee the purchase and disposal of recycled asphalt planings, ensuring compliance and efficiency
  • Ensure all Safety, Health, Environmental and Quality (SHEQ) documentation is current and compliant.
  • Assist with the preparation, formatting, and distribution of reports and other key documents.
  • Coordinate the hire and off-hire of small tools and equipment.
  • Liaise with Supply Chain Partners as required to support project delivery.
  • Provide flexible administrative support to other departments or projects as needed.
