HOW YOU MAKE AN IMPACT (JOB ACCOUNTABILITIES)

• Respond to incoming calls and gate traffic; greet and check in/out visitors, verify credentials, direct individuals appropriately, and answer general questions or route inquiries to the correct contact.
• Order and issue purchase orders (POs) for materials including pallets, labels, stretch film, and other indirect components. Collaborate with vendors and corporate accounts payable to ensure accurate billing, resolve PO issues, and respond to vendor inquiries.
• Monitor timekeeping system for discrepancies and ensure employee hours are submitted correctly. Process weekly payroll, assist employees with payroll-related questions, and serve as the primary point of contact for time entry issues.
• Enter receipts into SAP for miscellaneous components, monitor data accuracy, and resolve any accounts payable issues related to vendor invoices.
• Provide day-to-day assistance to the site manager and other team members through document preparation, scanning, filing, faxing, and research. Support special projects and assist in coordinating internal processes as needed.
• Develop and maintain monthly reports used to track site performance; work closely with facility personnel to communicate insights and areas of focus.
• Serve as backup for the Inventory Control Coordinator (ICC), assisting with inventory accuracy and reconciliations when needed.
• Act as the primary facilitator for shipping logistics, coordinating with customer service, trailer booking, regulatory compliance checks, and ensuring accurate order fulfillment and documentation.

• Working Conditions / Physical Requirements: Ability to lift and carry up to 25 lbs frequently and up to 50 lbs infrequently. Must be able to stand, walk, squat, and reach for extended periods (up to 8–12 hours per shift).

JOB PURPOSE

The Production Assistant plays a key role in the planning, scheduling, and distribution of domestic customer orders by executing the SAP Delivery Processor function. This position also supports inventory control through the SAP ICC role, ensuring accurate and timely completion of inventory cycle counts for all materials. Serving as the primary point of contact for customer order-related issues at the facility, the Production Assistant is responsible for maintaining and updating company systems with accurate, real-time information. This role requires frequent internal and external communication to ensure seamless coordination and execution of daily operational goals.

WHAT YOU BRING TO THE ROLE (JOB QUALIFICATIONS / EDUCATION / SKILLS / REQUIREMENTS / CAPABILITIES)

• Associate’s degree (2-year) or equivalent work experience required.
• Minimum 2 years of experience in a distribution center or similar environment.
• Prior experience providing administrative or operations support preferred.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required.
• Experience with SAP and enterprise resource planning (ERP) systems preferred.
• Ability to drive and operate a forklift; certification preferred or willingness to obtain.
• Familiarity with payroll/timekeeping systems
• Comfortable working in a fast-paced distribution or production environment.
• Strong attention to detail and accuracy in data entry, order fulfillment, and inventory tracking.
• Ability to communicate clearly and professionally with internal teams, vendors, and customers.
• Skilled in problem-solving, organizing information, and supporting special projects with minimal supervision.
