Description

Production Administrator - Swaine Group
The person appointed will need to be an all-rounder, willing and able to handle day-to-day production related administrative tasks as well as being able to develop and implement process to support the Production Management team in reaching production objectives of our luxury accessories.

Role & Responsibilities:

  • Work with Customer Services and Sales teams to ensure customer needs are met.
  • Assist with export documentation and complete online bookings with couriers.
  • Liaise with retail stores on special and bespoke orders.
  • Create a bill of material (BOM), a comprehensive list of parts, items, assemblies, subassemblies, intermediate assemblies, documents, drawings, and other materials required to create a product.
  • Produce a regular works order, containing the bill of materials (BOM), items, quantity, colour, special instruction such as engraving, initialling etc, date order received, target date for factory and completion date for customer.
  • Stock control: liaise and raise purchase orders with suppliers and maintain a good working relationship with all suppliers.
  • Ensure stock levels are up to date and meet production requirements.
  • Work alongside other departments such as the Product Development Director to assist with the planning and searching of raw materials.
  • Weekly updates on stock in warehouse, WIP, 3rd party manufacturers to sales teams & customer services.
  • Assist with regular stock inventories and maintenance accurate reporting of stock levels.
  • Support the production team to ensure a smooth product flow to fulfil customer orders.
  • Support Production Management team to maintain a realistic production plan to meet the business needs of free space, identifying capacity challenges and product availability challenges and proposed corrective actions
  • Any other tasks and improvement projects as allocated by Production Management team.

The success candidate should have:

  • Strong administrative skills;
  • Competent in the use of IT including advanced knowledge of Google Workspace and/or Microsoft Office Suite;
  • Excellent attention to detail;
  • Excellent organisational and communication skills (written and verbal);
  • Ability to be proactive, multitask and prioritise and co-ordinate own work;
  • Strong time management and project management skills;
  • Innovative, and proactive, thinks independently and doesn’t need much supervision or direction.
