EXPERIENCE/SKILLS REQUIRED:

  • Bachelor’s degree, preferred.
  • Advanced proficiency in Microsoft Suite.
  • Minimum of 1year administrative experience supporting a busy, multi-person department.
  • Experience with Keynote, Adobe Acrobat, and/or Intuit QuickBooks.
  • Exceptional attention to detail with the ability to manage multiple tasks, follow through on commitments and maintain awareness of overall objectives.
  • Ability to work independently while contributing as a key member of a high-performing team.
  • Proven project management skills, with the ability to take a project from conception through completion with minimal supervision.
  • Excellent oral and written communications skills, including strong grammar, proofreading, and the ability to explain complex concepts clearly.
  • Strong time management, organizational and multi-tasking abilities.
  • High level professionalism and diplomacy, with the ability to maintain confidentiality and discretion.
  • Positive, team-oriented attitude with a commitment to achieving results.

Responsibilities

PRINCIPAL RESPONSIBILITIES:

The Production Finance Assistant supports AFI Fellows by facilitating vendor payments and organizing transaction data for cost reports. Responsibilities also include sending all Production Finance calendar invitations and preparing purchase orders for review.

PRINCIPAL DUTIES:

  • Maintain and update ledgers to track spending for the Physical Production Department and individual cycle/thesis teams.
  • Review cycle/thesis team transactions and record corresponding data in Google Sheets to ensure up-to-date cost reports.
  • Schedule, send, and update calendar invites) in 25Live, Outlook, and the Thesis Production schedule.
  • Prepare weekly purchase orders and compile monthly American Express expense reports.
  • Attend weekly production staff and Thesis team meetings to remain informed on production updates and best practices.
  • Assist Fellows with time-sensitive requests when the Production Finance Manager is meeting with Thesis teams.
