JOB SUMMARY

The Production Scheduler is responsible for developing, maintaining and optimizing manufacturing schedules that align with operational goals and business strategies. This role ensures that production plans are executed efficiently, on time and within budget while supporting service level targets and inventory objectives. The ideal candidate is highly analytical, organized and proactive with a strong background in supply chain and production planning in a regulated manufacturing environment.

REQUIREMENTS

  • Strong understanding of production planning, scheduling, and manufacturing workflows
  • In-depth knowledge of supply chain principles, inventory management, and capacity planning
  • Familiarity with regulatory environments, particularly GMP standards and Health Canada
  • Knowledge of ERP/MRP systems and their role in production scheduling (e.g., SAP, Sage, Microsoft Dynamics)
  • Awareness of Lean Manufacturing, Six Sigma or other continuous improvement methodologies
  • Understanding of Bills of Materials (BOMs), routings and master production data
  • Knowledge of materials procurement processes and how they relate to schedule performance
  • Advanced proficiency in Microsoft Excel (including pivot tables, VLOOKUPs, formulas, data analysis)
  • Strong analytical and critical thinking skills to interpret data and forecast production needs
  • Effective communication and interpersonal skills for cross-functional collaboration
  • Exceptional time management and organizational skills, with the ability to prioritize multiple tasks
  • Technical writing skills to document SOPs, workflows, and process instructions
  • Problem-solving skills for identifying and resolving scheduling or resource conflicts
  • Attention to detail for accurate data entry, scheduling, and report preparation
  • Presentation skills to clearly report on KPIs and production performance to stakeholders
  • Ability to work independently and take initiative in a dynamic, fast-paced environment
  • Ability to adapt quickly to shifting deadlines, priorities and operational challenges
  • Ability to manage multiple production schedules concurrently across different departments or sites

EDUCATION & EXPERIENCE

  • Bachelor’s Degree or Advanced Diploma in one of the following or a related field: Business Administration,

Supply Chain Management, Industrial Engineering, Operations Management, Manufacturing or Production Management considered assets

  • Additional certifications are considered assets, including: APICS CPIM (Certified in Production and Inventory Management), APICS CSCP (Certified Supply Chain Professional), PMP (Project Management Professional), Lean Six Sigma (Green Belt or higher)
  • Minimum 3 years of experience in production scheduling, supply chain planning or manufacturing coordination
  • Proven track record in regulated manufacturing environments such as: Pharmaceuticals, Food and Beverage, Cannabis, Consumer Packaged Goods (CPG)
  • Hands-on experience with ERP/MRP systems such as SAP, Oracle, Sage, Microsoft Dynamics or equivalent
  • Demonstrated experience in planning within a multi-product, multi-line or multi-site production environment
  • Experience coordinating with cross-functional teams including Procurement, Operations, Quality and R&D
  • Familiarity with GMP, Health Canada, FDA or other regulatory standards is preferred
Responsibilities
  • Develop, maintain and communicate detailed production schedules across multiple manufacturing sites
  • Optimize production planning to align with sales forecasts, capacity constraints and inventory targets
  • Collaborate with cross-functional teams including procurement, operations, quality, R&D and logistics
  • Work closely with Material Buyers to ensure timely availability of raw materials, packaging and components
  • Analyze long-term demand forecasts and flag risks related to capacity, inventory or supply availability
  • Monitor and track production KPIs, such as schedule adherence, run rate efficiency, and cycle times
  • Identify, investigate and resolve scheduling conflicts, production delays or capacity constraints
  • Coordinate production planning efforts with 3rd-party manufacturers and co-packers
  • Support new product introductions by planning initial production runs and coordinating launch schedules
  • Maintain and update Bills of Materials (BOMs), routings and master data as required
  • Utilize ERP systems to manage and adjust production schedules in real-time
  • Lead or support cross-functional meetings to communicate schedule changes and project timelines
  • Document and improve production scheduling processes, SOPs and workflows
  • Ensure compliance with GMP, SOPs, safety procedures and regulatory guidelines
  • Conduct capacity analysis and scenario planning to support long-term manufacturing strategy
  • Support internal audits and inspections by providing relevant scheduling and planning documentation
  • Promote a continuous improvement mindset by identifying and implementing process enhancements
  • Train and support production personnel on schedule changes and execution priorities
  • Support crisis management planning through contingency scheduling and scenario modeling
  • Perform other duties as required to support manufacturing and supply chain operations
  • Other related duties as assigned.
