As a valuable member of our Internal Audit team, you will work closely with internal stakeholders and cross-functional teams to support business operations and help them to achieve their goals.

Responsibilities

The Professional Practices Team (PPT) Assistant will assist the PPT Manager to improve the consistency of approach and use of audit applications by all internal audit staff, coordinate reporting from Internal Audit; provide guidance and training to all internal audit staff; coordinate the process supporting the update of the Audit Universe, the risk assessment of audit entities, the annual planning process and the allocation of resources against the plan; coordinate GIA quarterly and annual reporting; and support the administration of GIA systems.

  • Reports directly to the PPT Manager and maintains good relationships with GIA Business Partners (BPs) and internal auditor staff
  • Supports the quarterly and annual reporting to Management and the various Committees to whom the function reports
  • Provide assistance to GIA staff to facilitate consistent use of the TeamMate+ and various data analysis tools (such as Power BI, ACL systems), including diagnosing and resolving basic technical issues or escalating complex problems to appropriate support channels
  • Assists in developing and delivering/coordinating technical training across the function, including new employee on boarding, as well as maintenance of the training tracker for the function
  • Performs administrative tasks for GIA including expense report processing, maintenance of the GIA SharePoint site, providing TeamMate+ administrative support for GIA staff and business users, creating and maintaining GIA style templates
  • Supports the PPT Manager with policy and procedure updates, including monitoring refresh cycles
  • Supports governance and compliance tasks, such as performance of Sharepoint site and Shared Drive access reviews.
  • Manages data stored in GIA repositories (e.g., SharePoint and shared drives), including regular clean-up and ensuring compliance with data retention policies
  • Liaises frequently with the internal audit function, as well as external stakeholders as first point of contact in the internal audit function for requests, queries, and ongoing technical support.
  • Assists with travel logistics and coordination for the team, supporting various administrative aspects of business trips
