About the Role
The Project Administration Coordinator will play a key role in managing a variety of administrative tasks, supporting the Professional Services team, and ensuring smooth operations across multiple projects in the company. This role requires proficiency in managing project documentation, coordinating communications, maintaining project management tools, and preparing all invoicing and billing. The ideal candidate will collaborate closely with the executive team, finance team, project manager, and external stakeholders to deliver efficient administrative support. This role will be working 5 days per week onsite in our Murarrie office.

Responsibilities:

  • Manage and support the Services Delivery Manager, Technicians and contractors when required
  • Create and maintain projects and tasks within the project management software.
  • Prepare accurate reports and metrics when required.
  • Prepare accurate and timely invoices on a weekly and monthly basis.
  • Book and organise travel, accommodation and vehicle hire for staff and projects.
  • Ensure timesheets and expenses are submitted accurately and in a timely manner.
  • Provide updates to key stakeholders, internal/external, throughout the project.
  • Act as the single point of contact for general client enquiries, providing effective and efficient support.
  • Raise concerns, incidents and problems to the SDM with actions to resolve.
  • Build strong client relationships to future proof the business unit.
  • Attendance and input at weekly team meetings.
  • Adhere to all company policies, procedures and values.
  • Manage ad hoc duties when they arise.

About You:

  • Excellent communication skills both written and verbal addressing internal and external stakeholders.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Actively participate in ACT Group’s team drive for continuous improvement.
  • Excellent analytical and problem-solving skills.
  • Be passionate about attention to details and efficiency.
  • Prior experience working in a similar coordination role is mandatory.
  • Ability to work independently and meet deadlines.
