POSITION SUMMARY

CRBCL has an opening in our growing teams for two Program Administrative Assistants who will perform administrative functions and provide support to our Young Adulthood (Post Majority)/Policy and Good Life (Prevention) departments. The position for Good Life (Prevention) will be based out of Cowessess First Nation. Duties for these positions will include, but are not limited to, being a point of contact for the organization in addition to more complex functions and services, such as arranging travel plans, minute-taking during confidential meetings, scheduling appointments, and communicating processes and procedures of the assigned department. In addition, the incumbent will assist and perform the administrative duties such as typing letters, memos, emails, ordering supplies, data entry, maintaining accurate records and electronic file (including financial), tracking timelines and drafting documents including sensitive correspondence, therefore, ability to uphold confidentiality is essential.

EDUCATION AND EXPERIENCE

· High School Diploma or equivalent
· Diploma in Administration or equivalent training/education
· 2+ years of direct work experience in an Administrative Assistant capacity or equivalent

ESSENTIAL SKILLS & ABILITIES

· Superior typing skills and computer experience with the ability to create accurate and visually pleasing documents using Adobe and Microsoft Office programs such as Outlook, Word, Excel, Sharepoint, databases, etc.
· Excellent communication (verbal and written) and interpersonal skills are necessary
· Strong attention to detail and with experience performing data entry and basic mathematical functions
· Self-motivated with the ability to work productively with minimal supervision as well as within a team setting
· Strong organizational skills and punctuality with the ability to multi-task
· Team player, flexible, respectful and ability to maintain a high level of confidentiality
· Effective problem-solving skills and the adaptable in order to work productively under pressure in a changing environment
· Valid class 5 driver’s license and reliable vehicle with willingness to travel as required

Responsibilities

· Maintain daily appointment calendar as well as schedule and arrange appointments and meetings as needed for Leadership group.
· Provide direct administrative and office management support to all members of the assigned department, as instructed by immediate supervisor.
· Coordinate the logistical aspects of team programs, meetings, seminars, workshops, special projects, and events.
· Review all necessary documents, reports, and other correspondence for proper formatting, content, grammar and spelling, and make edits as necessary.
· Perform minute-taking as well as prepare draft reports, supporting documentation, and research.
· Update and maintain database system and all relevant electronic filing as necessary.
· Receive and direct all inbound telephone calls, e-mails, and visitors as applicable.
· Coordinate assigned department office activities; troubleshoot or escalate basic office administration issues.
· Perform quality control for administrative processes and forms, ensuring completion and accuracy prior to submission
· Facilitate communication within the team and across the organization as necessary.
· Complete expense reports, submit invoices for processing, and other monetary duties
· Other duties as assigned
The incumbent must provide a successful criminal background check with vulnerable sector search as well as be willing and able to commute to the CRBCL Head Office on a regular basis, which is located on Cowessess First Nation, SK.
