Description Summary: The Donated Equipment Program (DEP) Administrator plays a vital role in ensuring individuals in the community have access to essential equipment that supports independence, safety, and daily living. This role is responsible for managing donated equipment from intake through repair and redistribution, working directly with community members to prepare, organize, and provide equipment to those who need it most. This position is highly hands-on and combines physical work with meaningful community interaction. The DEP Administrator serves as a welcoming, knowledgeable presence for individuals accessing the program, providing clear guidance, respectful support, and practical assistance while maintaining appropriate boundaries. Through careful stewardship of donated equipment and thoughtful engagement with the community, this role helps ensure the Donated Equipment Program operates with care, efficiency, and integrity. Schedule: Monday – Friday, standard business hours Responsibilities: Equipment Intake, Preparation & Inventory Receive, inspect, and document donated equipment. Determine whether donated equipment is usable, requires minor repair, or should be recycled or disposed of. Clean, sanitize, and perform basic repairs on donated equipment using appropriate tools and supplies. Establish and maintain organized inventory standards to ensure equipment is stored safely and efficiently. Maintain accurate inventory records using designated systems, including CRM and inventory tracking software. Resolve routine equipment and inventory issues independently and escalate concerns when necessary. Program Operations & Distribution Coordinate and manage equipment pickups and drop-offs, including assisting community members during walk-in visits. Prepare equipment for redistribution and ensure items are safe and ready for use. Provide clear, basic guidance on equipment use while maintaining appropriate boundaries. Support interactions with community members in a professional, respectful manner. Assist with program-related events or special distribution activities as needed. Community & Volunteer Support Work alongside volunteers supporting the Donated Equipment Program, providing light guidance and training as needed. Maintain a welcoming, organized, and efficient program environment for community members and volunteers. Equipment Repair & Maintenance Perform basic repairs and maintenance on donated equipment to restore items for safe use. Complete tasks such as replacing wheelchair batteries, tightening brakes on rollators, replacing wheels on walkers, and making other routine adjustments. Use basic hand tools safely and effectively to complete equipment repairs. Research repair needs for a variety of equipment types and identify appropriate solutions when standard fixes are not immediately known. Determine when equipment can be repaired in-house versus when items should be recycled or removed from inventory. Workspace & Logistics Maintain a clean, organized, and safe program workspace. Regularly lift, move, and transport equipment as part of daily operations. Stand and walk for extended periods throughout the workday. Transport equipment or supplies as needed using a personal vehicle (mileage reimbursed per policy). Work independently on-site at times, as program needs require. Other Duties as Assigned Perform other duties as assigned to support program and organizational needs. Physical & Environmental Requirements This role requires the ability to perform regular physical work in a climate-controlled, public-facing program space where donated equipment is displayed, maintained, and prepared for redistribution. Essential functions include lifting, moving, and transporting equipment; standing and walking for extended periods throughout the workday; and working hands-on with equipment that may require cleaning, adjustment, or basic repair. The Program Administrator must be able to safely use basic hand tools and navigate a shared workspace with varying equipment sizes and layouts. Work is primarily performed indoors within the office environment, with occasional independent on-site work as program needs require. Qualifications: Required: High school diploma or GED. Strong organizational skills and attention to detail. Ability to exercise sound judgment and work independently in a hands-on, task-driven environment. Ability to perform regular physical work, including lifting and moving equipment, standing and walking for extended periods, and completing basic repairs and maintenance tasks. Willingness and ability to learn new repair techniques, complete independent research, and follow repair instructions for a variety of equipment types. Ability to safely and effectively use basic hand tools. Strong problem-solving skills with the ability to troubleshoot equipment and inventory issues independently. Proficiency with basic technology, including inventory systems, spreadsheets, and task management tools (training provided). Strong written and verbal communication skills. Professional, respectful approach when interacting with community members, partners, and volunteers. Ability to work collaboratively with team while managing independent responsibilities. Valid driver’s license and reliable personal vehicle (mileage reimbursed per policy). Ability to pass a background check.
