Position Overview: The Program Assistant position resides in the School of Business, specifically providing support to three high-population academic departments. The School of Business enrolls over 1300 students, with classes led by 41 full-time faculty and a selection of professional adjuncts across our five academic departments. The Program Assistant will provide support to the needs of Chairpersons and faculty in the assigned departments. Work may include, but is not limited to assisting with course material preparation, classroom scheduling, directing students towards appropriate resources, processing adjunct contracts, managing textbook orders and vendor communication, and supporting club advisors. Program assistants will also organize departmental special events, obtain and compile data for decision making by Department/Chairperson, track faculty research and provide updates to Dean’s Office and Chairs, supervise research assistants and student workers, and assist faculty search committees. Responsibilities: Provide support services to 2-3 Department Chairs, Coordinators, and faculty (full-time & adjunct) in specified program areas, serve as customer service for same areas. File and maintain confidential records. Support departmental meetings and events, scheduling space, catering, and other event needs as appropriate. Obtain and compile data for decision making by Department faculty and Chairs. Track faculty research and provide updates to supervisor and Chairs. Assist with FAR report.Prepare and maintain all faculty search documents. Arrange campus visits and communicate with candidates and search committee to ensure an efficient process. Assign and monitor student worker tasks, ensuring compliance with college procedures Prepare adjunct contracts and maintain adjunct records. Orient new faculty to office and technology resources. Prepare textbook requisitions, communicating with vendors and faculty as needed. Enter course schedules and schedule classrooms in PAWS. Monitor and communicate cancellation needs .Provide primary and backup support services to the Dean’s Office as needed, including graduation and other special events. Report and follow up on Facilities and Helpdesk work orders. Monitor office inventory to advise on supply needs. Weekly consultation with supervisor to discuss progress and continuous improvement is expected. Other related duties as assigned. Qualifications: Works independently This role is supervised by the Assistant Dean, with Department Chairs providing daily supervision and direction on tasks related to their areas In between short, guiding discussions it is expected that this staff member will work independently to complete tasks. Position supervises student workers. Required: Bachelor’s Degree preferred; Associate’s degree and/or equivalent years of related experience considered. Experience working in higher education preferred, with knowledge of PeopleSoft (PAWS) a plus. Preferred: Strong interpersonal and communication skills, both written and verbal. Proficiency with Microsoft Office Suite and common office technology. Ability to maintain confidentiality and discretion in professional environment Ability to multi-task and prioritize in a busy environment.
