The Bridge Care Coordination Program serves individuals across Brooklyn, Queens, Manhattan, and the Bronx. The Program Assistant and Billing Support Specialist plays a key role in supporting the program’s daily operations through administrative, billing, and reception duties. This position ensures smooth communication between staff, members, and external providers, while assisting program leadership with minimal supervision. The role requires flexibility, a positive attitude, and comfort in frequent interaction with program members both in person and by phone. Proficiency in electronic medical records and strong organizational skills are essential.
Essential Position Functions:
- Maintain an accurate and up-to-date program roster, reconcile with MAPP enrollment, and ensure all members are properly reflected in the State system.
- Assist with data entry, creation, and archiving of member medical records in accordance with The Bridge’s Record Retention Policy.
- Run reports from Health Home portals and ePACES to support documentation management and verify member eligibility; report discrepancies to the Senior Director.
- Track Health Home enrollment, communicate participant status to Health Homes, and coordinate with billing staff to support accurate payment submissions.
- Complete monthly billing processes, resolve claim denials, and ensure timely communication with Health Homes, care managers, and finance.
- Enter Eligibility Assessments in UAS upon client admission and annually.
- Support the maintenance and organization of program materials, forms, and office supplies.
- Manage telephone inquiries and triage messages appropriately between staff and program personnel.
- Maintain accurate tracking of service dollar expenditures, process check requests, and reconcile MetroCard distribution per policy.
- Provide culturally competent administrative support in accordance with The Bridge’s standards and assist with additional duties as assigned by leadership.
QUALIFICATIONS, SKILLS, AND KNOWLEDGE:
- Bachelor’s degree preferred (BA or BS).
- Prior administrative experience in a direct service program setting.
- Exceptional communication and organizational skills, including strong phone etiquette and the ability to engage effectively with members, families, government agencies, and staff.
- Demonstrated diplomacy, poise, and interpersonal skills when working with individuals experiencing serious mental illness, substance use disorders, or crisis situations.
- Ability to work with purpose, urgency, and accuracy in a fast-paced, deadline-driven environment.
- Strong discretion and ability to maintain confidentiality and exercise sound judgment.
- Proven ability to develop and maintain well-organized administrative and operational systems.
- Familiarity with electronic medical records; experience with AWARDS is preferred.
- Proficient in Microsoft Word, Excel, and PowerPoint, with a willingness to learn new electronic medical record systems as needed.
- Bilingual in Spanish is highly desired
