Salary: $67,000.00 Annual
The Program Coordinator will provide essential administrative and logistical support to the ASU Leadership, Diplomacy, and National Security Lab (LDNS Lab) in Washington, DC. Responsibilities will include student communication, event coordination, alumni relations, administrative support, and ensuring smooth day-to-day operations of the Lab’s education programs. Strong attention to detail, excellent organizational skills, and a commitment to fostering engagement are critical for success in this role.
This position is in Washington, DC , and eligible for hybrid work schedules. Occasional evening work will be required for events.

DESIRED QUALIFICATIONS:

  • Experience in alumni relations and engagement.
  • Experience with Canvas course shells and providing user support.
  • Experience managing educational programs at the college or university level.
  • Familiarity with federal regulations and processes related to international students.
  • Experience with website maintenance, including updating content and ensuring all links are working properly.
  • Experience managing calendars with Microsoft Outlook.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint) and social media platforms.
  • Strong organizational skills and attention to detail, with the ability to handle multiple tasks and meet deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.

MINIMUM QUALIFICATIONS:

Bachelor’s degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

Responsibilities
  • Support day-to-day operations of the MA in International Affairs and Leadership (IAL) and Policy Design Studio programs, including scheduling, Canvas course shell maintenance, and general administrative tasks.
  • Organize applicant files, update tracking systems, and schedule interviews for IAL Director and Program Manager.
  • Input admission decisions, send welcome emails to accepted applicants, and add them to Canvas.
  • Respond to student inquiries regarding onboarding, schedules, class selection, projects, and online resources.
  • Collaborate with departments (e.g., Student Success, Admissions, Alumni Association) to address student needs.
  • Provide technical support for students and faculty using Canvas and troubleshoot issues related to courses (e.g., updating due dates, ensuring links are live).
  • Maintain up-to-date program websites with syllabi, deadlines, and other student resources.
  • Assist with planning and executing program events (workshops, speaker sessions, IAL Washington Week), capturing photos for social media, and engage students.
  • Assemble participant folders for Fall and Spring IAL Washington Week, including itineraries, speaker/student bios, photo release forms, and other essential documents.
  • Manage special projects, such as ASU World Innovators Summit, participant list and travel arrangements, ensuring adherence to ASU travel policies and identifying cost-saving opportunities.
  • Create marketing materials and monitor applications for the ASU World Innovators Study Abroad Summer Program /Policy Design Studio virtual program.
  • Maintain an up-to-date alumni database to track career progression and share timely updates with education program leads.
  • Draft and send alumni communications, including updates to LinkedIn alumni pages.
  • Collaborate with alumni chapters to share events and opportunities.
  • Organize event coordination, including venue reservation, catering, speaker communication, and assist with registration and marketing.
  • Provide on-site event support (set-up, clean-up, attendee needs) and coordinate with facilities, IT, and building management at the Barrett & O’Connor Washington Center.
  • Manage calendar and schedule for Education Program Director.
  • Monitor program expenditures and assist with financial documentation and reimbursement processes.
  • Other support duties as assigned
