POSITION HIGHLIGHTS

The University of Arizona Health Sciences (UAHS) Clinical and Translational Sciences Research Center (CATS) is looking for a Program Coordinator Assistant to work closely with colleagues in a fast-paced environment. This position will offer ample opportunity to learn about the world of human subject clinical research. The position will work closely with the Directors, the Manager, and staff of the research center. CATS provides concierge-level service to all UAHS investigators in support of human subjects clinical trials. This is an exciting opportunity to work in a team environment with a strong customer service focus and to play a part in facilitating the groundbreaking research occurring every day at the University of Arizona. A successful candidate is responsible for providing program and administrative support including communicating with internal and external stakeholders, preparing documents and reports, collaboration on special projects, compiling records, scheduling meetings, organizing, and maintaining information, website management, composing correspondence and other documents, and analyzing data. MINIMUM QUALIFICATIONS

  • High school diploma or high school diploma equivalency is required.
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
Responsibilities
  • Greet visitors, check in study participants utilizing internal systems, RedCap and MS Teams.
  • Monitor general email box and REDCap for incoming appointments.
  • Ensure resources, dates and times requested for study visits in CATS are available and send confirmations.
  • Create and maintain CATS appointment forms for daily visits. Collect after study appointments and enter information into the internal billing system.
  • Initiate CATS billing statement, send for study team approval, address error corrections and submit in UA Access for processing via internal billing.
  • Monitor and maintain research parking spaces.
  • Maintain the lobby appearance and refreshments.
  • Support the operations of the unit by providing administrative support to the center.
  • Submit facilities management requests as needed.
  • Reserve rooms for meetings, prepares notices, agendas, takes minutes and distributes to attendees.
  • Ensure the timely and accurate information flow to and from the CATS Research Center, via all types of means (correspondence, websites, newsletters, conferences, retreats, etc.).
  • Management of Clinical Research Professionals activities (Listserv, tracking of onboarding/offboarding of staff, tracking training and immunizations).
  • Coordinate Clinical Research Professionals monthly meetings.
  • Maintain internal key log.
  • Prepare P-Card forms for various vendors, submit and track payment.
  • Maintain CATs CAT Card door access.
  • Coordinate staff time off calendars. Maintain and make updates to the CATS website.
