JOB DESCRIPTION

Position: Program Coordinator
Classification: Non-Exempt / Full-Time / 40 hours per week
Department: Madison Station
Supervisor: Center Director

SUMMARY/OBJECTIVE

The Program Coordinator supports the overall operation of the Center, with an emphasis on planning, developing, implementing, and evaluating center programs. This role is responsible for coordinating member activities that are educational, social, and recreational, while encouraging health, well-being, and community involvement. The Program Coordinator also assists with membership recruitment and retention, supervises instructors and volunteers, and maintains center databases.

REQUIRED SKILLS/ABILITIES

  • Strong administrative, organizational, and customer-service skills.
  • Ability to work independently and collaboratively.
  • Proficiency in Microsoft Office (including Outlook and Publisher), database management, and maintaining electronic records.
  • Ability to adapt quickly to shifting priorities.
  • Strong interpersonal and teamwork skills; able to work effectively with internal and external stakeholders.
  • Willingness and ability to drive a 14-passenger van; must maintain a good driving record and required insurance.
  • Knowledge of and ability to work effectively with older adults.
  • Commitment to FiftyForward’s mission and values.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in social services, recreation, or related field preferred. Associate’s degree with relevant work experience may be considered.
  • 1–3 years of experience in program planning, marketing, promotion, and recruitment.
  • 1–3 years of experience in a client- or customer-focused environment.
  • Experience with active older adults, volunteers, nonprofit organizations, and/or health and fitness strongly preferred.
  • Experience creating newsletters, flyers, or promotional publications preferred.
  • Bilingual in Spanish and/or experience working with Hispanic/Latino populations is a plus.

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS

  • Smoke-free environment with possible high noise levels.
  • Must be able to push, pull, and lift objects up to 25 lbs.
  • Frequent sitting, walking, standing, lifting, carrying, pushing/pulling, stooping, kneeling, and climbing stairs.
  • Must be able to set up and operate audio-visual and sound equipment.
  • Ability to operate office equipment (computer, telephone, copier, scanner, fax).

EQUIPMENT REQUIREMENTS

  • Proficiency with laptop and desktop computers.
  • Ability to type using a computer keyboard.
  • Ability to operate audio-visual and communication equipment.
Responsibilities

  • Plan, promote, implement, and evaluate engaging programs and activities for center members.
  • Prepare and maintain the monthly center calendar; collaborate with staff to implement activities and promote them through social media and other channels.
  • Welcome new members, conduct tours, and promote membership.
  • Recruit, screen, hire, evaluate, and, when necessary, terminate instructors and group facilitators in partnership with the Center Director.
  • Set up rooms for activities, assist in maintaining a neat and orderly environment, and keep program displays and bulletin boards current.
  • Drive the agency vehicle and/or arrange for volunteer drivers for daily programs, special events, and day trips.
  • Update the MySeniorCenter Calendar and GiveHub weekly (or more frequently as needed).
  • Partner with the Membership and Program Committees to identify new program opportunities and outreach events.
  • Build and maintain community partnerships to foster engagement and awareness.
  • Develop and provide virtual/digital content for the membership portal and social media platforms across FiftyForward centers.
  • Recruit, train, and recognize volunteers in compliance with agency policies and procedures.
  • Communicate ongoing programs/activities to the FiftyForward Communications Department.
  • Oversee Center operations in the absence of the Center Director.
  • Serve as backup for office personnel.
  • Attend staff meetings and meetings required by FiftyForward or the Center Director.
  • Perform other duties as assigned.
