Job Title: Program Coordinator
Location: In Office – Arcadia, CA
Job Type: Full-time, M-F 9:00am - 5:30pm
Pay Range: $22.00 - $23.00

POSITION SUMMARY

The Imagen Foundation is a non-profit organization focused on empowering, celebrating, and inspiring diverse voices in all aspects of entertainment, and serving as a bridge for underserved communities by providing access, education, and resources. Imagen, (Spanish for image), is seeking a program coordinator to provide the organization with administrative and operational support for its programs. This role is essential in ensuring the efficient administration of programs and delivering quality services to our participants and stakeholders.

QUALIFICATIONS

  • Bachelor’s degree required.
  • Minimum of 2 years of experience in an administrative or programming role.
  • Strategic thinker with good judgment and ability to handle complex situations diplomatically.
  • Strong organizational skills with the ability to prioritize and multitask.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as in a small team setting, with willingness to provide support where necessary.
  • Tech savvy, with strong working knowledge and practical experience in utilizing digital tools, including Microsoft applications (Teams, Word, Excel, and PowerPoint), Google Workspace, Zoom, and Adobe Acrobat/Creative Cloud.
  • Occasional travel may be required.

PREFERRED SKILLS/KNOWLEDGE:

  • Bilingual in Spanish.
  • Experience with WordPress, Gravity Forms, and/or web development as well as low‑code databases and form applications (e.g., Airtable).
  • Familiarity with the entertainment industry.
  • Experience with fundraising and development.
  • Experience with accounts receivable and accounts payable.
  • Experience working in a fast-paced, client-centered environment.

Responsibilities
  • Work closely with the President on all program and organizational matters.
  • Assist the team with launching and coordinating Imagen’s annual programs.
  • Conduct follow-up calls and emails to participants, sponsors, vendors, and others.
  • Maintain accurate and up-to-date program and organizational records in accordance with organizational standards.
  • Prepare reports, forms, and correspondence related to organizational and program activities.
  • Assist with creating efficient workflows for processing application forms.
  • Assist with basic financial tasks, such as accounts receivable (AR) and accounts payable (AP) processing, invoice tracking, and payment coordination.
  • Assist with coordinating Board of Directors virtual and in-person meetings, prepare agendas, minutes, and reports, as well as take notes during meetings.
  • Maintain confidentiality and handle sensitive organizational and program information.
  • Assist with special projects and perform other duties as required.
