MAJOR FUNCTION Under the direction of the Scholarship Program Operations Lead, supports all operational aspects of the Cooke Foundation scholarship programs.  PRINCIPAL RESPONSIBILITIES Program Support and Communication 1. Serves as initial contact with the Foundation’s scholarship recipients and families, including, monitoring program specific email boxes and responding to telephone calls. 2. Assists with formatting, preparing, and sending program emails to different populations of Scholars and disseminating online Scholar newsletters. 3. Implements and monitors all major tasks associated with scholarship program administration, including notifying new Scholars, monitoring and processing scholarship requirements, and supporting the administration of experiences and services provided to Scholars and Alumni.   4. Supports internal application processes including coordinating with reviewers and preparing for selection meetings, keeping up-to-date with system training, helping to notify recipients, and monitoring receipt of required materials.         Database Support: 1. Accurately completes data entry and compiles data into spreadsheets and reports.  2. Maintains Scholar files and disseminates information to program Staff as requested or required for specific tasks. 3. Responsible for launching forms and surveys to Scholars ensuring all surveys and supplemental documents are returned promptly. Scholar Travel and Events: 1. Arranges travel and monitors logistics for major Scholar events and programs. 2. Actively participates in and provides administrative and technical support during in-person and virtual Scholar events. General: 1. Actively participates in Foundation meetings and works collaboratively with others to complete projects and goals.  2. Special projects and other duties as assigned.    JOB QUALIFICATIONS & REQUIREMENTS  *  Minimum of a bachelor’s degree or associate’s degree with two years equivalent experience.   * Minimum of two years’ experience in an administrative office or scholarship administration support role, with substantial independent responsibility.   * Previous experience in communications, expense report processing, travel coordination, learning management systems (LMS), and database entry is preferred.  * Ability to work effectively with individuals and diverse groups toward accomplishment of shared goals.    * Must be flexible team player, detail oriented, and have excellent organizational skills.   * Ability to work independently and simultaneously on multiple projects within close, overlapping and/or conflicting deadlines.   * Excellent knowledge of Microsoft Office applications. Experience with Technolutions Slate, Canvas, Asana, Salesforce, or Canva is a plus.  * The Foundation follows a 35-hour work week schedule for full-time positions. This position may require occasional additional hours during busy times and/or to meet deadlines, and any additional hours will be paid in accordance with Foundation policy and federal and state law.    * This position will require occasional evening and weekend hours for scholarship events.
