Description Job Type: Regular Full-Time Reports To: Workforce Divisional Director The Program Coordinator coordinates and supports the day-to-day operations of the Urban Construction Jobs Program (UCJP), ensuring effective participant engagement, accurate data tracking, and compliance with grant and organizational requirements. This role serves as the primary point of contact for program participants and provides administrative, coordination, and reporting support to promote successful program outcomes. Job Responsibilities Coordinate and support daily program operations in collaboration with internal staff, training partners, and program leadership. Serve as the primary point of contact for program participants, responding to questions related to program requirements, schedules, attendance, and stipends. Conduct participant intake activities including application screening, eligibility verification, orientation, and ongoing engagement. Participate in the interview and selection process for program applicants, including scheduling, screening, and sitting in on interviews as needed. Track participant attendance, participation hours, stipends, and progress toward established milestones. Monitor participant engagement and follow up with participants who are not attending or meeting program expectations to identify barriers and support continued participation. Coordinate and document supportive services, such as transportation assistance, childcare resources, and other approved needs-based supports provided, in consultation with the supervisor and in accordance with program guidelines. Maintain regular communication with training providers, trades councils, and partner organizations, as introduced and directed by program leadership. Maintain accurate, complete, and grant-compliant participant files and electronic records. Enter, update, and track data required for internal monitoring and external funder reporting. Assist with preparation of quarterly narrative and performance reports. Support stipend processing, reimbursement documentation, and basic budget tracking. Prepare documentation for audits, monitoring visits, and funder reviews. Support outreach, recruitment, and community engagement activities as assigned. Perform other related duties as assigned to support program operations and organizational goals. Requirements Associate’s degree or equivalent combination of education and relevant experience required. Experience working in workforce development, education, human services, or a nonprofit setting preferred. Experience with grant-funded programs and data tracking strongly preferred. Familiarity with federal, state, and local regulations related to program contracts and compliance. Strong alignment with and ability to demonstrate the mission and values of the organization. Strong customer service orientation with the ability to work effectively with diverse populations. Ability to handle stressful situations calmly and professionally. Strong interpersonal skills and ability to work cooperatively with staff, participants, and partners. Excellent organizational, project management, and time management skills. Strong written and verbal communication skills. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Ability to maintain confidentiality and handle sensitive information appropriately.
