William & Mary’s Charles Center invites qualified applications for the full-time position of WMSURE Program Coordinator to support the William & Mary Scholars Undergraduate Research Experience (WMSURE), which focuses on undergraduate education and support for high-achieving undergraduate students. Reporting to the WMSURE Assistant Director, and in collaboration with WMSURE Faculty Co-Directors, the Program Coordinator will assist with planning and implementing programming activities in support of this robust and expanding program. WMSURE students are academically distinguished students who are representative of diverse backgrounds, talents, and experiences, many of which are the first members of their families to attend college. WMSURE provides academic support, research opportunities, and campus and alumni connections for scholars. The program holds weekly workshops featuring faculty and staff, hosts daily office hours, and supports peer and faculty mentors. Job Description: Primary responsibilities include: Planning and implementing program activities, including coordinating events and handling associated budgets, purchasing and catering. Administrative management, including student and faculty awards, fiscal management of related programs, and assistance with data collection and WMSURE mini grant disbursement process. Serving as an advisor to students, connecting them to partners, programs, and services. Supervising undergraduate and graduate fellows. Facilitating WMSURE’s social media, including the newsletter, Instagram, email, website, and various platforms and accounts. Required Qualifications Bachelor’s degree in a relevant field or equivalent combination of education and experience Demonstrated experience and competency in working with diverse student populations. Demonstrated ability to communicate effectively with students, faculty, and internal/external partners. Excellent organizational skills and attention to detail. Ability to take initiative and use sound judgement. Demonstrated proficiency in computer skills to include internet browsers and Microsoft Office: Word, Excel, PowerPoint, and Outlook. Demonstrated experience advising or mentoring students. Preferred Qualifications Demonstrated professional program coordination experience Experience working in a higher education environment. Experience supervising staff and/or program teams. Demonstrated ability to develop, interpret, and implement policies and procedures. Knowledge of procurement and purchasing policies and procedures. Working knowledge of fiscal administration and budget oversight. Previous undergraduate or graduate research experience. Conditions of Employment This position requires some evening and weekend work, including the weekly WMSURE workshops (Wednesdays 4:00 – 6:30pm). This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor. Job Duties 40% - Student Communication, Development, and Support: Coordinate application and review process, hiring, training, and onboarding of student workers in collaboration with WMSURE Faculty Co-Directors, WMSURE Assistant Director, and Charles Center staff. Mentor student workers, including WMSURE peer advisors. Maintain a physical presence in the WMSURE office during working hours to be available for student support. Hold daily office hours to meet independently with scholars individually or in small groups to address their academic enrichment needs, making recommendations and referrals to the Assistant Director and/or other resources, as necessary. Manage communication with students, including weekly updates and social media posts. 30% - Programming & Event Management: Collaborate with faculty directors and Assistant Director to develop and implement strategic plan for WMSURE program. Assist with research, development, and implementation of academic enrichment programming for WMSURE and the general student population. Plan and arrange activities, logistics, guest speakers, and venues for a variety of WMSURE programs to meet organizational needs. Develop, design, and distribute WMSURE communications content via flyers, social media, and the web. Plan, coordinate, and attend WMSURE events including weekly meetings, general research interest meetings , and major programs such as annual conference, graduation ceremony, Charles Center events, and student research symposia. Arrange event catering to include placing orders, receiving deliveries and handling setup/cleanup as needed. 20% - Administrative Coordination: Assists with tracking program budgets and facilitates purchasing requests in buyW&M and Workday. Responsible for facilitating WMSURE student employee payment requests, submitting payment requests in Workday for WMSURE students receiving mini-grants, and submitting payment requests for WMSURE students receiving Charles Center summer research grants. Support the Charles Center summer research grant application and allocation process for WMSURE students. Collaborate with Charles Center staff as a key member of assessment teams to recommend improvements to programming and research experiences. Collaborate with internal and external stakeholders to collect and analyze data for grant reporting and assessment. 10% - Faculty and Professional Coordination: Assists with communication and coordination of faculty and staff speakers for WMSURE meetings, the annual WMSURE Research Conference, and other Charles Center events as needed. Assists with communication and coordination of faculty and staff, and external partners.
