The Event Coordinator role ensures that all commitments are met on schedule and within budget while maintaining consistent communication with sales representatives, faculty, and internal staff throughout the planning process. Responsibilities
  • Coordinate logistics for onsite and virtual meetings, ensuring all requirements are met.
  • Provide daily phone and email support, maintaining effective communication with sales representatives and faculty.
  • Run various reports to manage workload efficiently and effectively.
  • Collaborate with supplier partners for onsite meeting needs.
  • Set up virtual credit cards for dinner meetings.
  • Communicate professionally with clients and faculty to ensure seamless event execution.
  • Review documents for accuracy and ensure compliance with all requirements.
  • Ensure all meeting materials are complete, accurate, and delivered on time to meet service level agreements (SLAs).
  • Work closely with team members to guarantee the successful execution of meetings.
  • Assist the sales force by troubleshooting issues and answering questions.
  • Manage a high-volume, after-hours duty officer support line.
  • Conduct post-program follow-up to provide the team with the necessary data for proper program closeout.
  • Adhere to company policies, including confidentiality, sensitive communication, and intellectual property.
