ABOUT YOU:

We are looking for a Program Manager who has exceptional project management skills, and the proven ability to lead multiple programs and resources in a fast-paced environment.
You are in your element when managing complex schedules, budgets and logistics, while ensuring flawless event execution and memorable participant experiences.
As a member of the Mass Participation Events team, you will lead the project management and event execution, including production and sponsor integration for our BC Cancer Foundation portfolio of mass participation fundraising events. Specifically, you will lead the event operations and experience for the Tour de Cure (TDC), Workout to Conquer Cancer (WTCC) and Cypress Challenge (CC); each powering innovation in cancer research and care in BC.
Reporting to the Director, Mass Participation Events and Development, your responsibilities will include:
Build and oversee highly detailed project plans for each event, ensuring clear and timely management across many stakeholders.
Produce run-of-show schedules, coordinate production services, promotional requirements, and sponsor integration that delight participants.
Manage our production agency partners and vendors, as their day-to-day contact and overall project manager, providing timely guidance and approvals
Develop, manage, and report on annual operating expense budgets for each event, while providing detailed and timely venue and vendor invoicing.
Prepare informed risk assessments including environmental and situational variables and develop mitigation plans.
With our production agency partners, coordinate all amenities, accommodations, venue selections, food and beverage, transportation, site permits, event set up and breakdown, and audio / visual equipment needs. Negotiate and manage supplier contracts, quoting, and day-to-day vendor relationships.
Manage all event signage and event assets, including procurement, storage, packing, allocation lists and shipping, quality inspection, and inventory reporting.
Oversee key external stakeholder’ relations; liaise with local councils, traffic authorities, local governments, and police services as well as required coverage and contracts with medical teams and emergency (EMS) vendors.
Provide leadership, motivation, and support to guide event teams. Responsible for recruitment, training, assignments and retention of event crews, staff, and volunteers.
Lead event experience feedback process to learn from volunteers and participants to increase support and advocacy year over year.
Collaborate closely with internal BCCF partners, including Marketing and Communications and Development teams, ensuring clear communication and alignment.
Monitor, report and collaborate on each event’ progress-to-plan with informed risk assessment in partnership with all internal BCCF leadership and staff teams.

Proven event management skills, business and financial acumen, including budget development, scheduled reporting, and forecasting experience
Strong relationship management skills

Exceptional problem-solver.
Focused with strong attention to detail, thoroughness, and accuracy.
Competence in computer software such as Microsoft Office Suite (i.e. Word, Excel, Powerpoint, Outlook), Asana, Slack, Monday or other PM application.
Experience in Convio, Raiser’s Edge NXT, signup.com is an asset.

QUALIFICATIONS:

The successful candidate will be positive, proactive, and embody a can-do attitude.
Must have a minimum 5 years’ related experience, working within large scale, complex events with up to and over 1,000 participants, program management, or an equivalent combination of training, and experience.
Must be ready and willing to work a flexible schedule, including evenings, weekends, and holidays.
Ideal: Project management certification
Ideal: Experience with cycling and/or fitness activities and events.
Salary Range: $70,00 - $90,000
