Description

This is a contract position for 12 months with possibility of extension, Monday to Friday, 9:00am to 5:00pm with 35 hour work weeks. The hourly wage is $32.80.

Summary: As a part of the leadership team, reporting to the Executive Director and working closely with the Acting Service Delivery Manager, the Acting Program Supervisor helps to oversee day-to-day operations, supports staff and contributes to the overall smooth running of the agency. In addition, the acting program supervisor works to ensure that staff are following policies and procedures, working ethically and effectively in a manner consistent with the agency’s funders and guidelines.

QUALIFICATIONS

  • Post-secondary education in a related field preferred, or equivalent experience.
  • Experience working or volunteering in social services, education or another related setting considered an asset.
  • Experience working in career development, counselling considered an asset.
  • Experience supervising, scheduling, mentoring, coaching, and / or evaluating individuals and / or groups.
  • Ability to self-start, organize and manage priorities.
  • Attention to detail, ability to assess information and draw conclusions.
  • Effective communication skills, confidence to lead meetings and present to staff.
  • Ability to write clear, concise and effective reports.
  • Tact, professionalism and assertiveness.
  • Ability to set appropriate boundaries, maintain confidentiality.
  • Awareness, sensitivity and knowledge of client issues.

Responsibilities

DAILY DUTIES

  • Monitor HR line for staff call-ins and inform leadership team of all absences.
  • Plan coverage and direct staff accordingly.
  • Document absences on leave credit spreadsheet and payroll software.
  • Monitor referral portals and assign accordingly.
  • Support frontline staff overall with addressing issues throughout the day.
  • Assist with review of client support requests and rationales.
  • Assist with review of client placement requests and rationales.
  • Check and respond to emails.
  • Ensure leadership team is kept informed of all issues.

WEEKLY DUTIES

  • Attend leadership meeting and report back on assigned agenda items.
  • Attend programs and frontline update meeting and provide requested updates.
  • Review weekly captures submitted by staff.
  • Review and sign off on client attendance sheets for programs as needed.
  • Submit weekly report to Executive Director.

MONTHLY DUTIES

  • Assign workshop facilitation.
  • Draft agendas for unit meetings – schedule and lead unit meetings.
  • Draft resource and information area schedule – submit to Acting Service Delivery Manager for approval.
  • Assist Acting Service Delivery Manager in conducting monthly performance development meetings.
  • Attend assigned committee meetings.
  • Attend check in meetings with Service System Manager (SSM).

ON-GOING AND AS-NEEDED DUTIES

  • Assist with onboarding and training of new staff.
  • Work to address staff behaviour and performance issues.
  • Ensure staff follow policies and procedures.
  • Document all directives and reminders given to staff.
  • Provide ongoing staff training.
  • Escalate staff issues to management when needed.
  • Provide guidance and mentorship to staff on working with clients and managing caseloads.
  • Assist with overseeing program delivery.
  • Assist with development and review of procedures.
  • Assist with funding applications.
  • Assist with planning and implementation of directives from management.
  • Other duties as assigned by management.
