Job Description The Project Administrator will support the project delivery team throughout the planning, design, construction, and commissioning phases. This role ensures effective coordination, structured documentation, and seamless project administration aligned with company governance standards and CPM policy. Key Responsibilities 1. Meeting Coordination and Project Support Coordinate and schedule meetings for the project team and project-related stakeholders. Arrange meeting logistics including venue booking, online meeting setup, attendee coordination, and material preparation. Prepare meeting minutes when required and ensure timely follow-up on action items. Support logistics for workshops, executive reviews, and site visits. 2. Document Management and Compliance Create the preliminary project folder structure based on CPM Policy and ensure proper setup for project use. Manage system access permissions for internal and external project team members. Track documentation submissions, approval status, and contractual deliverables and follow up as required. Maintain document control, version management, filing, and records retention in accordance with company standards. 3. Stakeholder and Vendor Coordination Liaise with external vendors, consultants, contractors, and authorities for project administrative matters. Coordinate with relevant parties to establish and maintain site office facilities based on contractual requirements. Act as a communication link to ensure operational alignment between internal teams and external partners. 4. Operational and Administrative Support Support onboarding of internal team members and external partners involved in project execution. Maintain project registers including contact lists, procurement status logs, submission registers, and project organizational charts. Assist with procurement coordination of project office equipment, administrative services, and supplies. Assist the Head of Construction with project-related coordination, reporting support, and administrative workflow. 5. Translation and Language Support Provide basic translation support for internal communication and project correspondence where required. Ensure that legal, contractual, or technical documentation translation is handled by approved external translation services or designated internal departments.
