REQUIREMENTS:

  • 4 to 8 years of relevant experience in building construction project, ideally within real estate development or large-scale construction projects.
  • Proven experience working under tight deadlines with strong problem-solving and time management skills.
  • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent organizational and communication skills with a sharp attention to detail.
  • Ability to work independently and as part of a team in a dynamic, fast-paced environment.
  • Candidates already based in Dubai.
  • Fluent in English (both written and verbal).

PREFERRED QUALIFICATIONS:

  • Prior experience working with a client, consultant, or contractor on real estate construction projects.
  • Familiarity with full project lifecycle documentation from design to handover.
  • A proactive, self-driven attitude with a strong focus on achieving results and a willingness to take on additional responsibilities as needed.

Responsibilities

THE ROLE:

We are seeking a highly organized, detail-oriented and experienced Project Admin Cum Document Controller to join our team for a prestigious real estate construction project in Dubai. The ideal candidate will be based at the Client’s site office and will play a key role in managing and controlling all project documentation to ensure compliance and efficiency across all project phases, as well as provide vital administrative support to senior management. This role requires precision, confidentiality and strong coordination skills to facilitate smooth project execution.

KEY RESPONSIBILITIES:

  • Establish, maintain and monitor all incoming and outgoing project documentation, ensuring proper control and alignment with project standards.
  • Support the Client Project Manager with technical submissions, reporting and administrative follow-ups.
  • Set up and manage an efficient document control system (manual and electronic) to enable easy retrieval and archiving of documents.
  • Coordinate with clients, consultants, contractors, and subcontractors to track document submissions, approvals, and revisions.
  • Register, track and control all incoming and outgoing documents, ensuring timely distribution and retrieval by stakeholders.
  • Prepare, update and maintain document transmittals, submission trackers, and status reports for project progress.
  • Maintain required formatting and presentation standards of all project documents.
  • Maintain confidentiality and ensure the security of all project documentation.
  • Support senior management by coordinating calendars, scheduling meetings, and ensuring priorities and commitments are seamlessly managed.
  • Support internal communications,minutes of meeting, and issuance of notices and letters.
  • Assist in project startup activities such as folder structure creation, templates preparation and database setup.
