CodeLink is seeking a proactive and detail-oriented Project Administration Specialist (Multilateral Banking Division) to support project teams and ensure smooth execution of daily operations. In this role, you will coordinate project documentation, track progress, assist with scheduling and resource management, and provide administrative support across teams. You will work closely with different stakeholders to keep deliverables on track, maintain clear communication, and contribute to efficient and successful project outcomes. What you’ll be doing 1. Project & Administrative Support Handle and maintain large volumes of project documentation, ensuring accuracy, consistency, and compliance with client requirements. Track deadlines, prepare summaries, and ensure project records are properly organized and up to date. Schedule and coordinate business trips, meetings, and other logistics for team members. Serve as an administrative point of contact between internal teams, vendors, and client stakeholders. 2. Recruitment & Hiring Support Conduct background checks and verification processes in line with client policies. Assist the team in screening potential candidates for the client. Support mock interview sessions and coordinate interviews with clients. Provide administrative support during recruitment activities when required. 3. Finance & Reporting Work on project reports and prepare financial proposals to support team deliverables. Collaborate with the Finance Manager on invoicing for clients and project members. 4. Culture & Team Alignment Understand the client’s vision and requirements clearly. Help communicate and deliver the client’s expectations to team members to ensure alignment and strong culture building. Must-Have Requirements At least 4 years of experience as a Project Administrator or HR Administrator. Strong attention to detail and organizational skills. Proven ability to handle sensitive/confidential information with discretion. Ability to manage multiple tasks in a structured and process-driven environment. Strong communication and coordination skills across teams and stakeholders. Experience with business trip scheduling and logistics coordination. Fluent English communication skills. Nice-to-Have Requirements Prior experience in the banking or financial services sector. Experience preparing financial reports or proposals. Familiarity with invoicing processes and working with finance teams. Hands-on experience supporting interviews, candidate screening, or mock interviews.
