The Project Administrator plays a vital role in supporting project operations, payroll coordination, financial tracking, and administrative duties. This position requires strong attention to detail, organizational skills, and the ability to collaborate with project managers, site foremen, and finance teams.
This role will be full-time office-based, located in Thunderbay, Ontario (946-1 Cobalt Crescent, Thunder Bay, ON, P7B 5W3)
Key Responsibilities

Payroll & Employee Administration

  • Process weekly payroll inputs, including hires, terminations, and changes.
  • Coordinate new job start-up by preparing timesheets and distributing them to site foremen.
  • Collect and process required documents for EPSCA sites, including personal information and travel allowances.
  • Enter and submit employee expenses for approval and reimbursement.

Financial & Expense Management

  • Reconcile monthly corporate Mastercard charges, ensuring receipts and approvals are in place.
  • Track Starlink accounts, ensuring accurate cost allocation.
  • Monitor and process AP invoices and packing slips via ONBASE, coordinating approvals and issue resolution.

Project & Job Support

  • Submit requests for new customer builds and service orders.
  • Ensure accurate cost tracking and prepare monthly project billings (including ARIBA invoicing for OPG jobs).
  • Generate and submit T&M voucher summaries, ensuring all backup documents are complete.
  • Complete and submit Ministry of Labour forms (Notice of Projects, Form 1000).

Office & Site Administration

  • Answer phones, greet visitors, and manage office supply orders.
  • Organize and print job start-up binders and large-scale site drawings.
  • Support foremen with new employee documentation, safety paperwork, and purchase orders.
  • Book travel (flights, hotels) and maintain Concur expense records for reconciliation.
