Please visit our website: www.turnerandtownsend.com Job Description Project Coordination & Documentation Document Control: Manage the filing, storage, and retrieval of project documents, ensuring all records are up- to-date and compliant with internal standards. Project Tracking: Assist Project Managers in tracking project status throughout pre-construction and construction stages; ensure internal systems reflect real-time progress. Reporting: Collaborate with the team to produce weekly project progress reports and ad-hoc presentations for management. Close-out Support: Assist the team with the project close-out process, including archiving deliverables and finalizing paperwork. B. Financial & Contract Administration Financial Tracking: Assist in maintaining Profit & Loss (P/L) records and tracking project costs against budgets. Payment Processing: Handle payment applications, process invoices, and perform financial reconciliations to support Project Managers with payment requests. Calculation: Perform basic financial calculations (percentages, discounts, markups) with high accuracy for reporting purposes. Expense Management: Coordinate expense reimbursements for the team and ensure compliance with company policies. Office Operations & Communication Meeting Management: Schedule and organize meetings; record and distribute accurate meeting minutes and follow up on action items. Liaison: Act as a focal point of contact between cross-functional business units, external partners, vendors, and clients to ensure smooth information flow. General Administration: Manage office supplies inventory, coordinate travel arrangements, and support event planning as required. Onboarding: Support the onboarding process for new staff and vendors by ensuring all required documentation is collected and processed. Qualifications Bachelor’s degree in Business Administration, Project Management, or a related field. 2–3 years of experience in an administrative, operations, or project support role. Experience in the Construction or Project Management industry is a plus. Skills & Competencies: Technical Proficiency: Strong command of MS Office Suite (Excel, Word, PowerPoint, Outlook). Familiarity with project management software is an advantage. § Communication: Excellent written and verbal communication skills; ability to exchange information clearly with stakeholders at all levels. Organizational Skills: Proven ability to multitask, prioritize conflicting deadlines, and manage time effectively in a fast-paced environment.
