Project Administrator Zaragoza, Spain Job Summary: Job Title: Project Administrator (Construction Projects) Role Overview We are seeking a highly organized and detail-oriented Project Administrator to support construction projects from an administrative and coordination perspective. This role plays a key part in ensuring smooth project execution by managing documentation, coordinating stakeholders, and supporting financial and vendor-related processes. The ideal candidate thrives in fast-paced environments, has strong multitasking abilities, and demonstrates excellent communication and organizational skills. Key Responsibilities Project Coordination & Administrative Support Provide day-to-day administrative support to the project team Coordinate and schedule meetings, site visits, and project reviews Prepare meeting agendas, take minutes, and track action items Maintain accurate project documentation, records, and filing systems Ensure all project-related documentation is up to date and properly archived Financial & Invoicing Support Support invoicing processes, including preparation, tracking, and reconciliation of invoices Coordinate with finance teams to ensure timely billing and payments Monitor project expenses and assist in budget tracking Support purchase order (PO) creation and tracking Vendor & Stakeholder Management Assist in onboarding vendors and maintaining vendor records Coordinate communication with contractors, suppliers, and external partners Track vendor deliverables and ensure compliance with project timelines and requirements Support contract administration and documentation Reporting & Documentation Prepare regular project status reports and dashboards Track project milestones, deliverables, and deadlines Ensure compliance with internal procedures and documentation standards Support audits by maintaining organized records Qualifications & Experience Bachelor’s degree or equivalent experience in Business Administration, Project Management, or related field 2–5 years of experience in an administrative or project support role (construction or engineering environment preferred) Experience supporting procurement, invoicing, or vendor management processes is a strong advantage Excellent organizational and time management skills Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with project management tools is a plus Strong communication and stakeholder management skills Fluent in English and Spanish.
