POSITION DESCRIPTION

Reporting to the Vice President of Ontario Operations, the Project Administrator plays a key role in supporting the project management team. The Project Administrator is responsible for gathering and providing documentation required to ensure accurate and timely recording of project costs, and for the organization of documentation and records required for each specific project.

SKILLS AND EXPERIENCE

  • Experience working with a unionized workforce
  • Experience with cost reporting, timekeeping, and expense reports
  • Excellent verbal and written communication skills
  • Strong time management skills, and ability to prioritize a broad range of time sensitive tasks

Responsibilities
  • Maintain and organize bid documents, proposals, contracts, and related files, ensuring that all documentation is up-to-date and accessible via calendar and relevant spreadsheets
  • Receive Client emails with sales/bid information, reconcile contents, distribute to team members, and follow-up with team members on the deliverables
  • Update and maintain the CRM system and bid tracking databases, ensuring accurate and timely information on bid opportunities and client interactions
  • Manage scheduling, prepare correspondence, handle office supplies, and perform other administrative duties as required
  • Support departments in developing presentations, written content, and proposals
  • Schedule and coordinate site visits and events for Clients, stakeholders, and internal teams
  • Maintain meeting minutes
  • Conduct regular reception duties such as greeting Clients and visitors, answering the phone, managing office supplies, processing incoming/outgoing mail, managing documents, and coordinating with the building landlord and building maintenance
  • Support Projects team in maintaining project documentation
  • Input project information into shared systems and complete project setup process.
  • Perform cost control support activities, including timekeeping
  • Perform administrative duties for job sites, ensuring all documentation regarding timesheets, equipment usage, and all personnel related allowances are transferred to Accounting daily or weekly as required
  • Ensure receipt of all invoices and follow up with vendors where required
  • Be willing to travel to client sites
  • Support Senior Management where required
