Diary management for team/function lead. Collating and issue agendas, meeting packs, meeting minutes, chase actions and support the production of reports/presentations Maintaining team information such as SharePoint folders, organisation charts, distribution lists, holiday trackers etc. Supporting team with general IT and system queries. New joiner onboarding and induction arrangements: Issue welcome email. Arrange access pass. IT set up. System training i.e., time sheets. Issue new joiner/line manager checklists. Undertaking ad-hoc tasks as necessary to support your team and the wider project. Aconex - upload and create workflows for documentation on behalf of team members, creating reports/dashboards. Working with the office manager and assisting in any office moves that affect the teams, keeping them updated and aware of any changes that affect them. Ensuring team members carry out training for parent companies and the project by set dates. Specialist responsibilities within your teams (include duties which you undertake beyond the above generic administration tasks): Construction delivery admin: Providing support to construction delivery team both office and technical. Hard copy filing of site documentation. Updating construction filing system on platform. Aphex system administrator: Providing access and login support. Updating assignees and packages. Weekend duty roster compilation and issue. Butty briefings/site wide talks: Producing slide templates. Managing updates and input from responsible persons. Creating purchase orders. Site inductions: Induction and support to Induction Manager. Data scope management of inductee submissions and competence. Induction roster compilation and issue.
