JOB SUMMARY:

As a Project Administrator, you will support the project team by performing all administrative duties. As you grow with the company, you will continue to expand your knowledge and take on additional tasks as needed to support project management. You should possess a positive attitude and strong initiative to support the team.

MINIMUM EDUCATION REQUIREMENTS:

  • High school diploma or equivalent

REQUIRED QUALIFICATIONS (SKILLS/EXPERIENCE/CERTIFICATIONS):

  • 4 or more years’ experience working in a Project Administrator or similar role
  • Experience with automated accounting systems, Deltek VantagePoint experience highly preferred
  • Excellent verbal and written communication skills
  • Computer skills, proficient with MS Office applications including Excel, Word, Outlook, and Teams
  • Knowledge of bookkeeping processes and financial management
  • Strong time management and organizational skills
  • Positive attitude and strong teamwork skills
  • Ability to maintain strong relationships with clients

PREFERRED QUALIFICATIONS (SKILLS/EXPERIENCE/CERTIFICATIONS):

  • BS or AS degree in a related field of study
  • Experience working for a civil engineering or related firm
Responsibilities
  • Set up projects in Deltek VantagePoint
  • Produce, revise and finalize all client invoices
  • Manage collections, complete project budgets, and ensure compliance with project contractual obligations as needed
  • Track, receive and process client contracts and subcontractor agreements
  • Communicate and coordinate with clients, subcontractors, and any other related parties on any billing or collection related issues
  • Assist Project Managers with client requests for billing related items
  • Manage and process accounts receivable
  • Produce and distribute PM reports
  • Act as a point of contact for billing and collections
  • Data entry
  • Perform other duties as assigned
