Description

Owing to growth we are seeking a Project Administrator.
This new position will be based in our satellite office in Hitchin but will be expected to work on projects across the south and south east of England.

KEY ACCOUNTABILITIES

  • Ensure the agreed project management methods, standards and processes are maintained throughout the project lifecycle.
  • Develop and maintain the project library, filing, recording and reporting systems.
  • Set up and maintain systems for recording project costs, keeping track of budgets and project expenditures.
  • Carry out regular checks and reviews in order to ensure the information is up to date.
  • Assist in preparation for the door ordering process.
  • Attend any specific project meetings.
  • Assist the Project Manager to complete costings for each project including any variations that might occur and ensure that invoicing of the projects is completed in a timely manner once the project is completed.

Microsoft Word, Excel and Outlook

EXPERIENCE NECESSARY

  • Excellent telephone manner, with the ability to deliver a positive message and in equal measure have the skill to diffuse a problem scenario when customer expectations have not been met.
  • Strong problem-solving skills with ability to liaise with other departments to deliver company objectives with the customers’ needs at the heart of all decisions.
  • Eye for detail, ensuring that all paperwork processes are carried out efficiently and accurately.

Responsibilities

PURPOSE OF ROLE

To support the Project Manager and Project Team in the administration, co-ordination, planning and control of the project.

DIMENSIONS OF ROLE

  • Liaise with site to ensure all site related information is received, logging and maintaining the site information.
  • Assist the Project Manager and team in the production and maintenance of project plans, updating and maintaining project essential documents.
  • Where needed, assist in the hire and control of contractors for installations.
  • Assist in raising and checking orders from the export team for doors being put in manufacture.
  • Preparation and actioning purchasing activity with both Teckentrup Germany and other hardware suppliers.
  • Preparing action plans, assessing risks and opportunities, and gathering necessary resources.
  • Maintain CRM database for related projects.
  • Keep project calendar up to date.
  • You will be expected to carry out any other duties that may reasonably be required in line with your main duties.
