JOB OVERVIEW:

We are seeking a Project Administrator to support our project managers and engineers in the successful delivery of our projects. This role is ideal for someone highly organised, detail-oriented, and proactive, with strong administrative skills to effectively support the project team.
The ideal candidate will have experience in a construction-related field and be capable of anticipating team needs to keep projects running smoothly.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Organisational Skills: Highly skilled at managing multiple tasks, prioritising workloads, and meeting deadlines in a fast-paced environment.
  • Attention to Detail: Strong emphasis on accuracy in handling project data and documentation.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to engage effectively with various stakeholders.
  • Technical Proficiency: Proficient in project management software, Microsoft Office Suite (Excel, Word, Outlook), and other relevant tools.
  • Team Player: Proactive and able to work well both independently and as part of a team.
  • Desire to progress: Motivated to grow within the role and contribute to the continuous improvement of practices and procedures.

Responsibilities
  • Project Team Support: Provide day-to-day administrative assistance to project managers and engineers, ensuring smooth project operations.
  • Scheduling & Coordination: Organise and schedule engineering tasks and site visits across multiple locations in the country, optimising resource allocation and helping to ensure project efficiency.
  • Documentation & Reporting: Maintain and regularly update project records, including work schedules, progress reports, and meeting minutes, to ensure accurate and timely documentation.
  • Communication: Act as a point of contact between project managers, engineers, and clients, facilitating clear communication and prompt updates.
  • Logistics & Planning: Assist in arranging travel, accommodation, and any necessary permits for engineers working across different regions, supporting seamless project execution.
  • Data Management: Ensure records of project timelines, deliverables and costs are kept accurate and up to date, whilst ensuring that information is easily accessible to the project team.
  • Operational & Maintenance Manuals: Support project managers in compiling O&M’s to support project completion requirements.
  • Training & Development: Monitor and coordinate mandatory training schedules to ensure engineers stay up to date with essential certifications.
