JOB SUMMARY:

We are seeking a detail-oriented and proactive Project Administrator to support the successful delivery of interior design projects from concept to completion. The ideal candidate will play a key role in assisting project managers and design teams by handling administrative tasks, coordinating documentation, tracking schedules, and ensuring seamless communication across all project stakeholders.

• Assist in preparing project proposals, contracts, schedules, and budgets
• Coordinate meetings, site visits, and presentations with clients, vendors, and internal teams
• Maintain and update project documentation including drawings, material boards, specifications, and change orders
• Monitor project timelines and deliverables to ensure deadlines are met
• Track procurement orders, deliveries, and installations of FF&E (Furniture, Fixtures & Equipment)
• Communicate with suppliers, contractors, and consultants to ensure accurate and timely information flow
• Assist in invoice preparation, budget tracking, and cost reports
• Support compliance with building regulations, permits, and legal requirements
• File and archive project records for easy retrieval and audit purposes
• Provide general administrative support to the design and project teams
