About the Role: The Project and Administrative Officer provides a range of administrative and project support services to ensure the smooth and efficient operations of the TNE Partnerships Unit and our academic staff. Reporting to the Director, Teaching and Learning - TNE Partnerships, the Project and Administrative Officer also coordinates the hiring of sessional, allocation of academic staff to TNE programs, extensive coordination of travel arrangements and logistics. Position Key Duties ​​Provide high level administrative and project support Manage the administration processes for hiring of academic staff, including sessional recruitment, workload reconciliations and processing payment claims utilising the team SmartSheet, VU People First and the VU Sessional Allocator systems.​​Click here to enter text.​ Work closely with P&C to maintain knowledge with regards to employment and onboarding legislative requirements.​​Click here to enter text.​ Responsible for coordinating the administrative booking of travel arrangements & Monitor and reconcile travel-related expenses Provide accurate administrative advice to stakeholders regarding workload allocation and travel processes. Keep accurate records of workload allocations for College staff undertaking TNE-related work and liaise with Finance on processing reimbursements to Colleges. Provide administrative support for project activities, including planning, coordination, documentation and monitoring of timelines. Provide a range of administrative services such as word processing, filing, drafting correspondence, organising meetings, taking minutes and action items, and following up on relevant action items. With strong organisational and computer skills (MS Suite, collaboration and communication tools such as Trello, Asana and Monday.com), you are proactive with high regard for quality and confidentiality. Working closely with our internal and external stakeholders, excellent communication you and interpersonal skills will be critical as well as ability to form strong working relationships and provide high-level responsive service. You thrive under pressure and fast-paced environments through your ability prioritise workload to meet deadlines. Experience in the tertiary education sector (international) and/or travel industry, human resources administration will be highly regarded. The University is a Child Safe organisation.
