Job Description The Project and Contract Coordinator for the Landscape Architecture and Planning group is integral to supporting our Principals and Project Managers in the successful execution of proposals and projects. The role requires excellent organizational and communication skills. Client relations and the ability to work with all levels of the organization are the key to success in this role. Position based in our Seattle/Northgate office at least three days per week. Primary Responsibilities Develop a deep understanding of our practice to communicate effectively with clients. Assist Principals and Project Managers in preparing and managing project proposals. Track proposals sent and returned, and follow-up with clients as needed. Create and monitor subconsultant agreements. Input preliminary (PP) and approved projects into Vantagepoint including Contract Management, Billing Terms, and Plan Labor inputs. Coordinate client communications, ensuring timely and professional responses. Track project milestones, deliverables, and budgets to ensure alignment with client expectations. Order, furnish and maintain certificates of insurance for our clients and manage those from vendors and subcontractors. Identify opportunities and make recommendations to improve communication, efficiency, or client service. Track project deadlines and budgets, providing regular updates to project teams. Join project kickoff and progress meetings, take detailed notes, and follow up on action items. Facilitate communication between Principals, Project Managers, production staff, clients, and administrative staff. Qualifications Bachelor’s degree in business administration, Project Management, or a related field, or equivalent work experience. Prior experience in a project coordination or contract administration role, preferably within a civil engineering, architectural, environmental or related consulting industry. Proficiency with project management software. Experience with A&E accounting/billing software; VantagePoint by Deltek a plus. Strong organizational, time management, and multitasking abilities. Excellent written and verbal communication skills. Meticulous with a proactive approach to problem-solving. Ability to collaborate with diverse teams and clients.
