As a Project and Executive Support Officer, you will have:

  • The expertise in providing project, organisational and executive support to senior leaders.
  • An understanding of the dual sector environment, including both TAFE and Higher Education.
  • An understanding of roles of the Executive Directors and Managers in their area and how they interact with other parts of the University, clients and partners.
  • The knowledge and understanding of operations, governance, and decision-making processes, including quality assurance policies and procedures and other relevant legislative requirements.
  • Be familiar with Federal and State government legislation and policies related to the tertiary education sector and its impact in their area of responsibility.
  • Advanced knowledge and experience of MS Office Suite.

ABOUT THE ROLE

This key role will provide timely, efficient and high-level project and executive support to the Executive Director/Director in the Office of the Chief TAFE Officer, Victoria University. The role will contribute to the day-to-day operations of Executive Director / Director’s Office and successful achievement of the University’s strategic objectives.

AN EXAMPLE OF DUTIES YOU MAY PERFORM WILL INCLUDE:

Calendar & Time Management : Support the Executive Director / Director by managing their calendar, scheduling meetings, and helping prioritise appointments to ensure they can focus on key responsibilities.
Administrative & Executive Support : Provide reliable and timely administrative assistance, including preparing documents, coordinating meetings, and supporting day-to-day operations.
Team & Culture Building : Assist with planning team activities, onboarding new staff, and supporting initiatives that promote a positive, people-focused workplace culture.
Budget & Resource Awareness : Help track expenses, invoices, and support cost-effective practices by ensuring resources are used efficiently and within budget guidelines.
Sustainability & Impact Awareness : Support activities and decisions that reflect the university’s commitment to social responsibility and sustainability—such as reducing waste, using ethical suppliers, and promoting inclusive practices.
