Organizational Setting and Reporting Relationship The position of Project Assistant is assigned to the Thailand Resident Mission (TRM) within the Southeast Asia Department (SERD). You will be based at our Resident Mission Office in Bangkok. You will report to designated international staff and officer. Your Role As a Project Assistant, you will perform a full range of support responsibilities to multi-sector projects for Thailand and the region, working with sector and thematic teams. These include: (i) monitoring project processing and implementation activities; (ii) supporting recruitment of staff consultants and resource persons; (iii) contributing to project documents preparation and quality checks and (iv) supporting knowledge events, capacity building activities, workshops, seminars and conferences. You will: Support project and administration teams in carrying compliance check of draft loan/grant and technical assistance (TA) documents, project completion report (PCR)/technical assistance completion report (TCR)s before final submission of the documents. Support project and administration teams organizing loan/grant and TA processing/pipeline data from ADB project systems, such as Operations Dashboard and eOperations system. Coordinate and follow up on multiple meetings and schedules related to TRM and sector and thematic teams' project processing programs with stakeholders and participate in missions. Provide logistical support and participate in Thailand project-related meetings. This includes supporting knowledge events, capacity building activities, workshops, seminars and conferences. Ensure that project officers are reminded of the timelines on different documents, inputs and agreed actions with stakeholders outside the division. Ensure that project-related logistical requirements are attended to including facilitation of project-related missions, meeting arrangement, and transportation arrangements. Maintain related computer-based information system, documents, records, and files for assigned projects. Accomplish other tasks to assist TRM teams on project processing and administration for Thailand and the region to ensure completeness of documentation and compliance to the corporate standards. Perform other responsibilities as may be assigned and reflected in your workplan. You will need: Bachelor's degree in business administration, environmental management, urban planning, or related disciplines. At least 5 years of relevant professional experience including experience coordinating with government and public agencies in Thailand. Proficiency in Excel (can maintain complex spreadsheets), PowerPoint, and SharePoint. Familiarity with videoconferencing tools (MS Teams, Webex). Experience collaborating in a multicultural environment as a constructive team member. Exercise judgement on matters of confidentiality and those requiring urgent attention, especially in the supervisor's absence. Experience arranging logistics/ event organization. This opening is a local staff position. It is open only to nationals and permanent residents of Thailand This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff’s particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff’s performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment..
