High-Level Overview The Client is a global investment-focused network of institutional members - including sovereign wealth funds, asset managers, and private investment firms - working to integrate climate risk and sustainability into long-term strategies. The Client engages with key global stakeholders to accelerate the economic case for decarbonization, with a strong focus on supporting transitions in the Global South. The Client is seeking a Project Assistant (Digital Amanuensis) to strengthen meeting documentation, knowledge management, and task coordination across distributed teams. The role will operationalize an AI-enabled workflow that captures, summarizes, tags, and routes meeting outputs at scale, with a strong focus on reliability, confidentiality, and throughput. The Project Assistant will provide structured operational and knowledge support to leadership and project management teams in a fast-paced, international, mission-driven environment. Role and Responsibilities Role: Project Assistant - Digital Amanuensis Direct Report: TBD Candidates Required: 1 Key Deliverables: Knowledge & Documentation Management: Ensure accurate capture, organization, and storage of meeting transcripts and notes; maintain clear file structures and metadata to support easy retrieval and synthesis. Information Flow & Task Coordination: Convert raw meeting outputs into structured summaries, track follow-up actions, and route information to the correct stakeholders in a timely manner; high daily volume of summaries (8–10 sets/day) with a 24–48h turnaround; ensure accurate routing to project leads and reviewers across global time zones, including weekends where necessary. Expert Review Support: Work closely with project leads and sector experts to refine summaries, validate accuracy, and ensure outputs reflect the right context and substance before distribution. Process Improvement: Refine and document workflows (e.g., SOPs, templates) to improve consistency, efficiency, and knowledge capture across the organization. Confidentiality & Quality Assurance: Review AI-generated outputs for clarity, accuracy, and compliance with confidentiality standards before distribution. Support to Leadership & Teams: Provide back-office and content support to project leads, helping prepare materials for meetings, workshops, and member engagement. Capability Building & Growth: Grow into the role by developing subject matter awareness, learning organizational systems, and gradually taking on higher-level responsibilities; demonstrate a growth mindset and curiosity to expand impact over time. Requirements Experience Required: 2–5 years in administrative, project coordination, or operations roles; remote/distributed team experience strongly preferred. Proven ability to manage follow-ups, deadlines, and internal task tracking at scale. Experience creating SOPs and working with AI-enabled documentation tools (e.g., Scribe, Otter.ai, ChatGPT) and screen recording. Familiarity handling confidential information in alignment with GDPR or equivalent frameworks. Technical Requirements: High digital fluency; proficiency with Microsoft 365 (Teams, OneDrive/SharePoint, Outlook), Trello (or Asana/Notion equivalent), and basic Office suite. Comfort with AI note-takers/transcription tools and prompt-driven summarization workflows (with provided prompts). File taxonomy management, tagging/metadata, versioning, and searchable archives. Other Skills: Meticulous, organized, and structured thinker with strong written synthesis skills. Proactive communicator: able to liaise with project leads, anticipate needs, and ask clarifying questions. Intellectually curious with a growth mindset - eager to learn about sustainability, investment, and global transition topics. English working proficiency required; French is a plus (English prioritized for this role). Mission alignment with climate, sustainable finance, and/or nonprofit operations.
