The National Gallery of Victoria (NGV) is seeking a Project Assistant, Fundraising and Events to support the NGV in achieving strategic philanthropic, engagement and event related outcomes.

Responsibilities

You will be responsible for providing efficient and professional administrative support to the Assistant Director, Fundraising and Events in day-to-day activities including managing diaries, monitoring correspondence and drafting communications, coordinating meetings and supporting the planning and delivery of stakeholder events and engagement initiatives. Other key responsibilities include:

  • Effectively monitoring the schedule of the Assistant Director, Fundraising and Events to ensure timely provision of support and/or information, and facilitate meetings and visits with donors and stakeholders by liaising with NGV staff and external contacts.
  • Assisting with engagement activities for major donors and prospects who are stewarded by the Assistant Director, Fundraising and Events and other Executive or senior members of the NGV, by coordinating bespoke events, diarising and facilitating gifts or communications to mark donor milestones and generating unique outputs to support relationship development.
  • Supporting the Assistant Director, Fundraising and Events to carefully monitor and maintain systems for reconciling expenses, completing compliance documents such as hospitality forms and registers, as well as supporting the Fundraising and Events teams with activities relating to departmental budgets.
  • Working closely with teams on the delivery of international fundraising initiatives such as the NGV Curatorial Tours and American Friends program by helping to plan and implement logistics and associated admin and event related activities.
  • Assisting Fundraising colleagues to update and maintain stakeholder details and undertake other data related activities through the CRM database, Tessitura, in accordance with Information Management policies and procedures
