Casual opportunity for a Project Assistant Commencing ASAP flexible availability to work on-a-needs basis from Feb - July is preferred HEO 4 $56.85 + super About the opportunity We are looking for a motivated and detail-oriented Project Assistant to join our team. In this role, you will provide hands-on administrative and project support to help keep our projects running smoothly. Working under the guidance of senior team members, you will assist with coordination tasks, stakeholder communications, and day-to-day operations that are essential to delivering successful outcomes. Your key responsibilities will be to: Project Coordination Support Assist with maintaining project plans, schedules, and progress tracking documentation. Help prepare business cases, status reports, and audit documentation under supervision. Identify opportunities to streamline administrative processes and suggest improvements. Maintain document templates, version control, and file distribution. Flag potential project issues such as cost overruns or resource constraints to senior staff. Stakeholder Communication Support productive working relationships with internal and external project stakeholders. Assist with preparing presentations, meeting materials, and training resources. Help gather stakeholder feedback and contribute to identifying areas for improvement. Financial and Administrative Support Assist with processing payments, purchase orders, invoices, and travel coordination in line with University finance policies. Help maintain accurate financial records and support budget tracking and reconciliation activities. Support asset management record-keeping as required. General Operations Provide efficient day-to-day administrative support to the team and stakeholders. Respond to enquiries, manage correspondence, and help coordinate resource procurement Liaise with internal university teams (e.g. Central Operations, IT, procurement) to support smooth service delivery. Assist with contractor renewals, building access requests, and similar operational tasks. HR and People Support Assist with staff onboarding, inductions, and offboarding processes in collaboration with HR. Help prepare position descriptions and support recruitment activities as needed. Contribute to developing guides and process documentation to support team workflows. Reporting and Compliance Assist with generating reports and maintaining data accuracy across systems. Help identify and flag discrepancies in data and reporting for resolution. Support governance and compliance activities under the guidance of senior staff. About you Essential Strong verbal and written communication skills with a customer service focus. Good organisational skills with the ability to prioritise tasks and manage competing deadlines. Solid problem-solving skills and the ability to use initiative with appropriate guidance. Competency with standard office software (e.g. Microsoft Office suite). Desirable Numeracy skills with the ability to assist with basic financial tasks such as invoice processing. Previous experience in the higher education sector or a large, complex organisation. Experience in a project support or administrative coordination role.
