We are seeking a detail-oriented and proactive Project Assistant to support our project management team in planning, coordinating, and executing projects. The Project Assistant will play a key role in ensuring smooth workflow by handling administrative tasks, tracking progress, preparing reports, and maintaining communication between team members, clients, and stakeholders. This role is ideal for someone who is organized, resourceful, and eager to grow in project management.

QUALIFICATIONS:

  • Prior administrative or project coordination experience is a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize, and work well under pressure.

Responsibilities
  • Project Support
  • Assist Project Managers in coordinating project schedules, resources, and tasks.
  • Track project milestones, deliverables, and deadlines.
  • Prepare and maintain project documentation (e.g., meeting notes, status reports, work orders).
  • Communication & Coordination
  • Serve as a point of contact between project teams, clients, and stakeholders.
  • Schedule and organize meetings, including preparing agendas and distributing minutes.
  • Ensure all parties are informed of updates, changes, and next steps.
  • Administrative Duties
  • Maintain accurate records of project-related documents.
  • Process invoices, expenses, and purchase orders related to projects.
  • Assist in preparing presentations, proposals, and progress reports.
  • Quality & Compliance
  • Monitor compliance with company standards, policies, and project procedures.
  • Help identify risks or delays and report them to the Project Manager.
  • Support the implementation of process improvements.
