DESCRIPTION

JS Compliance is seeking a Project Assistant to add to the team! This role performs all core PSM/RMP duties — including leading monthly client meetings, conducting compliance audits, managing Management of Change (MOC) processes, and maintaining compliance documentation — while receiving regular guidance and review from a Sr. Project Manager. This role is ideal for someone who is capable of leading projects but is still developing full independence in technical and regulatory decision-making.

SKILLS, KNOWLEDGE AND EXPERTISE

  • 1–3 years of experience in safety, compliance, technical project management, or related fields (internships or relevant training accepted).
  • Knowledge of OSHA PSM and EPA RMP regulations preferred; ammonia refrigeration experience a plus.
  • Strong organizational and time management skills with the ability to balance multiple clients and priorities.
  • Proficiency in Microsoft Office Suite and ability to learn industry-specific software (APSM, SharePoint, Monday.com).
  • Strong written and verbal communication skills.

Responsibilities
  • Serve as the primary point of contact for assigned clients.
  • Prepare agendas, materials, and follow-up tasks for monthly PSM team meetings.
  • Lead monthly PSM meetings to review compliance progress, action items, and program priorities.
  • Maintain proactive communication with clients via email, phone, and virtual meetings.
  • Conduct PSM/RMP gap assessments, compliance audits, and SOP reviews.
  • Review client documentation for accuracy and regulatory alignment; escalate complex findings for Sr. PM input.
  • Track and monitor progress toward closing compliance gaps using APSM and SharePoint.
  • Initiate and manage MOCs from start to closeout.
  • Identify required documentation updates and coordinate with client teams.
  • Obtain Sr. PM review for major or complex changes.
  • Lead incident and near-miss investigations, ensuring documentation is complete within required timeframes.
  • Track related action items and follow up to ensure closure.
  • Submit final investigation documentation for Sr. PM review and approval.
  • Track Emergency Action Plan (EAP) and Emergency Response Plan (ERP) drill schedules.
  • Ensure drill evaluations are documented and related action items are tracked to closure.
  • Consult Sr. PM on deficiencies or best practice improvements.
  • Draft and customize PSM/ARM procedures and forms using approved templates.
  • Work with client teams to implement new or updated procedures.
  • Submit final drafts to VP of TPSM for review and approval.
  • Track contractor compliance documentation and safety evaluations.
  • Ensure contractor safety records meet client requirements.
  • Escalate complex contractor safety concerns to Sr. PM.
  • Assign and track tasks in Monday.com for internal coordination with PM Assistants.
  • Maintain organized documentation in APSM and SharePoint.
  • Prepare compliance status reports for clients and leadership as requested.
  • Perform other related duties and special projects as assigned to support client compliance and organizational goals.
