Job Title: Project Billing Specialist
Reports To: Controller
Role Summary: Project Billing Specialist,manages and oversees the entire billing cycle for a commercial millwork company. Ensure all billings are accurate, timely, and fully compliant with client contracts and company standards. Works closely with project managers, estimators, and the accounting department to ensure proper documentation, track billable work, resolve discrepancies, and maintain accurate records for financial reporting and client communication.
SKILLS/QUALIFICATIONS:
· Skills:
· Strong understanding of construction project billing practices, including AIA Pay Application processes.
· Advanced organizational and time management skills to meet billing deadlines across multiple projects.
· High attention to detail and accuracy in preparing and reviewing invoices and documentation.
· Excellent communication and collaboration skills for working with internal departments and external clients.
· Ability to analyze project budgets, contracts, and job cost reports to ensure accurate billing.
· Proficient in Microsoft Office (especially Excel), QuickBooks, and QuickBase.
· Problem-solving skills and the ability to independently manage billing discrepancies and disputes.
· Experience:
· 4+ years of experience in billing, project accounting, or financial roles, with direct experience in millwork, construction, or manufacturing industries.
· Strong working knowledge of AIA billing formats and project-based billing processes.
· Experience with job cost analysis and understanding of construction project documentation.
· Education:
· High school diploma or GED required.
· Associate’s or bachelor’s degree in accounting, Business Administration, or a related field preferred. Relevant work experience may be considered in lieu of a degree.
