Responsibilities Pre-Installation Responsibilities Serve as the primary point of contact for financing, VP calls, and payment coordination. Order and verify all equipment, materials, and subcontractor availability prior to scheduling. Ensure permit is pulled and scheduled with the customer. Confirm financing is fully processed, payment types are accurate, and all pre-installation checklist items are complete. Communicate with warehouse and coordinate dispatch for install crews once everything is verified. Post-Installation Responsibilities Submit required rebate paperwork and HVAC equipment registrations within 3 business days. Enter accounts payable invoices and complete job costing within 48 business hours. Track, follow up on, and close out permits once inspections are passed (reschedule as needed). Conduct “happy calls” to all customers within 48 business hours of job completion. Provide customer support and serve as a backup for customer service calls when needed. Job Close-Out Duties Finalize jobs by verifying no pending appointments, matching financing and payment info, and ensuring invoice and documentation are complete. Confirm materials and purchase orders are correctly entered; follow up with technicians on missing info. Apply appropriate tags and send final touchpoint communications to customers. For jobs on hold, schedule follow-ups based on technician notes and ensure invoice accuracy and transfer of funds if necessary. Requirements Experience working both independently and in a team-oriented, collaborative environment. At least two years of Customer Service or related experience. 3 years of scheduling, planning, and/or coordination experience. Strong written and oral communication skills. Strong ability to prioritize. Strong Attention to Details. Ability to follow through with tasks and complete them on time.
