The Project Coordinator supports the successful delivery of client projects by coordinating day-to-day execution across clients, consultants, and internal team members. This role helps keep projects organized, on schedule, and moving forward through strong communication, documentation, follow-up, and task management. The Project Coordinator plays an important client-facing role, but does not carry full responsibility for project financials, contract negotiation, or ultimate project accountability. The individual should be passionate about working collaboratively and fostering strong coordination across teams to support organized, efficient, and client-focused project execution. They should bring a proactive, detail-oriented approach that helps keep work moving, communication clear, and project needs aligned across internal teams and client stakeholders. Primary Responsibilities Client and Delivery Coordination: Partner with Client Leads and internal team members to support the delivery of client projects · Help guide clients through project activities by coordinating communication, meetings, follow-up items, and required documentation · Gather, organize, and document client decisions and action items · Prepare meeting agendas, project updates, status summaries, and standard operating procedures · Help triage client questions and issues and route them to the appropriate internal resources · Track client requests, project dependencies, open items, and outstanding decisions · Support invoice coordination and project documentation as needed Project Execution Support: Maintain project schedules, tracking, milestones, deliverables, and action item logs · Coordinate internal and external project activities to help ensure deadlines are met · Assist with project audits, quality checks, reporting, and documentation control · Monitor project progress and raise risks, delays, or scope concerns to leadership as appropriate · Support project change tracking, documentation updates, and milestone management · Help prepare KPI reporting and project summaries for internal and client review Internal Team Coordination: Coordinate with consultants, technical resources, and client-facing team members to keep project work moving efficiently · Follow up on open tasks, deliverables, due dates, and next steps across multiple active projects · Help improve consistency in delivery by maintaining templates, trackers, documentation, and repeatable processes · Build working knowledge of relevant systems, software tools, and implementation practices · Support operational improvements that strengthen project delivery and team coordination Business and Team Support: Assist with proposal support materials, project startup coordination, and internal planning efforts · Contribute to documentation and organizational support for client growth opportunities · Participate in internal meetings, planning discussions, and team coordination activities as appropriate Requirements Qualifications and Skills · Strong written and verbal communication skills · Strong organization and follow-through with close attention to detail · Ability to manage multiple priorities across several active projects · Comfortable working directly with clients and internal teams in a coordination role · Ability to identify risks or blockers and escalate appropriately · Strong time management and task management skills · Ability to learn business processes, technical systems, and implementation workflows · Professional, responsive, and service-oriented approach · Proficiency in Microsoft Office and other project coordination tools Experience and Educational Requirements · 2–4 years of related experience in project coordination, implementation support, client delivery, operations, or facility/space management environments · Bachelor’s degree in Computer Science, Information Systems, Business, or related field · Experience supporting software implementations, upgrades, or operational projects preferred · Familiarity with platforms such as Archibus, Tririga, FM Systems, Planon, or similar is a plus · Experience with Microsoft Office, MS Project, Azure DevOps, Bluebeam, or similar tools preferred Physical Requirements Stand, sit, or walk for an extended period of time or for an entire work shift. Perform other reasonable job duties as requested.
