                                                                                                                                            Job Summary   This position is responsible for assisting their designated department in organizing current, future, and ongoing projects. The employee's responsibilities involve monitoring project plans, schedules, budgets, and expenditures, organizing and participating in project meetings, and ensuring that project deadlines are met in a timely manner. Work is assigned by the Department's Deputy Director or designated Project Manager in terms of project goals, objectives, and successful completion of associated task.   ESSENTIAL FUNCTIONS   Essential Functions: These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position.   Maintaining and monitoring project plans, databases, project schedules, associated project budgets, and expenditures.  Organizing, attending, and participating in project and departmental meetings.  Documenting and following up on important actions, decisions, and follow-up tasks from meetings. Preparing necessary presentation materials for meetings. Ensuring project deadlines are met; with the ability to work effectively during tight deadlines. Assisting in the determination of project changes. Providing administrative support to project staff and department leaders as needed. Undertaking project tasks as required to complete project goals. Research, developing, and implementing project strategies.  Ensuring projects adhere to established frameworks and all documentation/project files are maintained appropriately for each project.  Assess project risks and issues and provide solutions where applicable.  Assists in the facilitation of meetings where appropriate and distribute minutes to project team.  Create a project management calendar for fulfilling each goal and objective associated with each assigned project.  Designs, prepares, and produces reports by accessing databases or consolidating data from multiple sources; may summarize data and provide commentary or observations based on analysis.  Provides monthly project status reports to supervisor and/or manager.   Additional Duties: Employees in this classification may be expected to perform any related duties as required by proper authority.   KNOWLEDGE, SKILLS, AND ABILITIES  Knowledge of county and departmental policies and procedures.  Knowledge of purchasing procedures, budgetary, and project management techniques. Knowledge of file management, transcription, and other administrative procedures. Knowledge of safety procedures, practices, and departmental procedures. Knowledge of general accounting principles, spreadsheets and budgetary practices. Knowledge of Microsoft Office Suite (Word, Excel, Outlook, Access, PowerPoint etc.). Skill in using independent judgment and discretion. Skill in operating modern office equipment. Ability to work effectively both independently and as a part of a project team by maintaining cooperative and effective working relationships with others. Ability to utilize software to prepare project budgets and associate financial reports.  Ability to communicate effectively using verbal, written, and presentation skills.  Ability to prepare, communicate, and present comprehensive project reports to project team, project manager, and department leaders.  Ability to organize in an effective manner and implement multiple facets of department projects simultaneously; including prioritizing, scheduling assignments, and project management.  Ability to plan, schedule, organize, and assist in the delegation of work in a manner that will optimize the use of time and employee skills.   WORKING CONDITIONS  Work Is typically performed in an office with the employee sitting at a desk with intermittent standing and walking. Depending on the nature of the project, work may be performed off-site at a designated project location. MINIMUM QUALIFICATIONS 1. Associate degree in Project Management, Business, Planning, or a related field. 2. Three (3) years of project management or project coordination experience with increasing project responsibilities.                3. OR have a combination of education, training, and work experience that is equivalent to #1 and #2 above that provides the requisite knowledge, skills, and abilities for this job. 4. Valid State of Georgia Driver's license. 5. Construction experience preferred.
