Responsibilities
  • ORDER PROCESS & PROJECT MANAGEMENTManage project workflows to ensure timelines and milestones are met.Create and maintain Opportunities in NetSuite for each new project, including all relevant job details.Organize and manage project folders in OneDrive, linking them to Opportunities via CloudExtend.Document and update meeting notes; incorporate changes into Opportunities and Estimates as needed.Prepare and revise Estimates based on finish schedules, meeting notes, selections, pricing, and quantities.Verify and update shipping addresses, tax rates, and freight/handling charges as projects progress.Obtain and provide freight quotes (UPS, LTL, FTL) and record them in NetSuite.Gather and save lot photos for natural stone projects; record approved lot numbers in Sales Orders.Coordinate Sales Orders, including sending for signature via SnapSign, processing orders within 24 hours of payment, and sending acknowledgments and receipts.Track Purchase Orders, communicating with the Purchasing Department and addressing discrepancies in collaboration with the Design Consultant (DC), Manager, or Logistics Manager.Collect balances due, send tracking updates, and follow up with clients on deliveries.Facilitate returns, replacements, and refunds in the event of damages or other issues.
  • OPERATIONS SUPPORTAnswer phones, direct inquiries, and schedule client meetings.Provide hospitality support during client visits (greeting, refreshments, meeting setup).Assist DCs with pulling/ordering samples and manage shipping/delivery of materials.Support walk-in clients and capture notes for appropriate DC follow-up.Participate in client meetings, recording notes and assisting when DCs are unavailable.Distribute accounting reports, payment logs, and A/R updates to relevant stakeholders.Support showroom and external events; participate in vendor training sessions.
  • SHOWROOM MAINTENANCEMaintain showroom cleanliness, organization, and sample library.Order and stock office supplies, catalogs, binders, and top-selling sample lines.Receive, check in, and properly label deliveries and samples.Install and maintain showroom display boards as directed by the Showroom Manager.
