POSITION OVERVIEW

We are seeking a highly organized and detail-oriented Project Coordinator with expertise in the Elevator industry to join our growing team. The ideal candidate will be responsible for coordinating and managing elevator installation, modernization, and maintenance projects, ensuring they are completed on time, within budget, and in compliance with safety and quality standards. The Project Coordinator will work closely with project managers, engineers, contractors, and clients, serving as a key point of contact for project-related tasks and communications.

QUALIFICATIONS & REQUIREMENTS

  • Experience: At least 5 years of experience in project coordination or project management, with a strong focus on the elevator industry (installation, modernization, or service).
  • Skills:
  • Strong organizational and time-management skills.
  • Ability to manage multiple projects simultaneously and prioritize effectively.
  • Proficient in MS Office Suite, including Excel and Project Management tools (e.g., MS Project, Asana, or Trello).
  • Experience with elevator-specific software or CAD tools (a plus).
  • Strong written and verbal communication skills.
  • Detail-oriented and capable of maintaining accurate project documentation.
  • Knowledge: Understanding of elevator industry standards, codes, and safety regulations.

Responsibilities
  • Project Coordination: Oversee day-to-day operations of elevator installation, modernization, and repair projects. Collaborate with project managers and field teams to ensure the smooth execution of each project.
  • Scheduling & Resource Allocation: Develop and maintain project timelines, schedules, and resource allocation plans. Ensure the proper resources are available and ensure projects are delivered on time.
  • Vendor & Contractor Management: Coordinate with external vendors, subcontractors, and suppliers to ensure timely delivery of materials and services. Monitor vendor performance and address any issues promptly.
  • Budget & Cost Control: Assist with project budget creation, track expenses, and ensure projects stay within budget. Recommend cost-saving measures and keep track of any changes or additions to project scope.
  • Client & Stakeholder Communication: Serve as a point of contact for clients, addressing any questions, concerns, or updates related to the project. Provide regular project status reports to clients and internal stakeholders.
  • Compliance & Safety: Ensure all work is carried out in compliance with local, state, and federal regulations, including OSHA safety standards and elevator industry-specific codes. Conduct site visits to inspect project progress and safety adherence.
  • Documentation & Reporting: Maintain and organize project documentation, including contracts, change orders, daily reports, and progress tracking. Ensure accurate and up-to-date reporting for senior management.
  • Problem-Solving & Risk Management: Proactively identify project risks or issues and work with the team to implement solutions. Ensure that any obstacles affecting timelines or budgets are addressed efficiently.
  • Post-Project Review: Assist with post-installation inspections and quality assurance checks to ensure completed projects meet all technical, safety, and regulatory requirements.
